Real Estate Brokerage Administrative Assistant

We are currently seeking a motivated and detail-oriented Real Estate Brokerage Administrative Assistant to support our team of brokers and ensure the efficient operation of daily administrative tasks.


Position Overview:

As a Real Estate Brokerage Administrative Assistant, you will play a pivotal role in supporting our brokers, managing documentation, and ensuring the smooth flow of operations within the brokerage.

Your responsibilities will encompass transaction coordination, client communication, and administrative support to contribute to the overall success of the brokerage.


Responsibilities:


1.

Transaction Coordination:


  • Assist in the preparation, coordination, and management of real estate transactions, including document preparation, contracts, and closing paperwork.
  • Collaborate with brokers, clients, and other stakeholders to facilitate seamless transaction processes.
  • Maintain organized and uptodate transaction records and files.

Client Communication:


  • Provide excellent customer service to clients, addressing inquiries, scheduling appointments, and relaying important information.
  • Assist in maintaining client databases, ensuring accurate contact information and records.

Administrative Support:


  • Prepare and edit documents, reports, and presentations as needed.

Broker Support:


  • Support brokers in the preparation and dissemination of marketing materials, property listings, and client communications.
  • Assist in the organization of open houses, property showings, and broker events.

5.

Data Entry and Database Management:


  • Enter and update property listings, client information, and other data in the brokerage's management systems.
  • Ensure accuracy and completeness of data in all relevant databases.

Qualifications:


  • Proven experience as an administrative assistant, preferably in a real estate brokerage or related field.
  • Familiarity with real estate transactions, contracts, and documentation processes is advantageous.
  • Excellent organizational and time-management skills, with meticulous attention to detail.
  • Strong communication and interpersonal skills to interact effectively with brokers, clients, and external partners.
  • Proficiency in Microsoft Office Suite and real estate management software.
  • Ability to multitask, prioritize, and thrive in a fast-paced environment.
  • High level of professionalism and discretion in handling confidential information.
