KEY DUTIES AND RESPONSIBILITIES

Carry out designated clerical activities such as drafting correspondence, creating documents, preparing presentations etc.

to support efficient management of departmental activities:

Assist the Director in planning and scheduling meetings, conferences, teleconferences, and travel arrangements for efficient diary management:

-
Review and prioritize memos and mail to ensure necessary action is taken in a timely manner:

-
Handle incoming / outgoing calls on behalf of the department ensuring messages are directed in a timely and accurate manner
:

Meet and greet visitors in a professional and courteous manner ensuring necessary protocols are adhered to in all interactions:

-
Prepare meeting agenda, take minutes of the meeting, ensure timely distribution as instructed and follow up on performing instructions as per meeting recommendations by all involved parties

Assist in collating information and preparing reports on prescribed formats:

-
Follow up on department budget distribution, submit purchase requests and follow up on its status, and prepare relevant reports:

-
File and retrieve departmental documents as per document control policy of the company:

Monitor stocks of office stationery for timely replenishment:

-
Maintain confidentiality of information and integrity of data at all times:

-
Adhere to ADPHC's health, safety, and environment standards:
