Senior Document Controller

Duties and Responsibilities:    
Overall responsible for the Document Control Department under the supervision of 
the Project Director/design director / principal design manager /design manager, 
Monitor the day to day functioning of the Document Control department & Staff, 
Responsible for all incoming & outgoing Documentation.   

 

In charge of Document control for multiple projects.   
Maintaining a master document register of the latest drawings and ensuring that   
all recipients have transmitted the drawings they require as soon as new revisions   
of drawings are received.   
Keep an electronic register of documents and maintain a history of drawing 
revisions and transmittals sent to architects, builders, contractors, and sub- 
contractors.  The jobs involved:    
• Provide training and workshop to new sites (4projects & project wise) 
• Log incoming documents to contractor and consultant, make sure they receive 
relevant documents and make sure copies of relevant documents/certificates 
are held.   
• Bulk & Manual loading of electronic files – on the project-wise & 4projects. 
• Handling electronic File Distribution by preparing workflows in the system. 
• Preparing Transmittals as per issue request & standing orders. 
• Preparing Templates for loading Bulk of Data / Attributes in the system. 
• Upload & Download electronic –Files from FTP (File Transfer Protocol) server 
     & Notify to relevant Project Managers / Consultant / Subcontractors

• Maintaining and updating the database and also manual filings. 
• Ensure all documents are achieved appropriately. 
• Receiving and checking all incoming correspondence and drawing documents. • 
Maintaining paper and electronic files (organizing, following on up daily routine 
data and paper.   
• Ability to use the system of recording and distribution of all incoming and 
outgoing drawings and information.   
• Coordinate all activities related to the document control procedure, including 
technical documents, drawings, and commercial correspondence   
• Input document data into the standard registers ensuring that the 
information is accurate and up to date.   
• Comply with all aspects of the Design works instructions. 
• Issue and distribute controlled copies of information in accordance with the 
design Management Plan.   
• Check the information on drawings for conformance with status and format 
agreed.   
• Liaise with designers and specialist suppliers on queries regarding issues of 
information.   
• Provide training to participants, designers, and specialist suppliers on the 
project on how to use the drawing management system.   
• Periodically review, revise as necessary, and arrange authorization by the 
relevant personnel.   
• Liaise with their Design Manager in reporting on project design performance 
and Regional Design Reporting.   
• Accountable for the completion of standard or no-standard tasks, within the 
scope of the function.   
• Delivers activities to support operational objectives for their role. Ensure 
Drawings / Documents/ Materials etc are submitted to the Consultant for 
Approval on time.

• Maintain Accurate Records of Submittals, Distribution, and Storage. 
• Organize Document Control Registers for the Senior Design Manager in 
advance of Design meetings, Sub-Contractor meetings and as required.

section or service with the ability to accommodate new tasks.
