  • Assisting EAM – F&B/ Director of F&B with corporate reports and presentation such BRM etc...
  • Perform clerical duties such as typing, filing, copying, emailing, answering and responding to telephone calls and messages, as well as coordinates, schedules and makes appointments
  • Coordinate and arrange, attend and participate in assigned meetings including preparing agenda, reserving and preparing meeting location, recording and transcribing minutes as requested
  • Create and maintain up-to-date electronic and physical file system
  • Create menu and  assist in menu design and production for weekly, seasonal, and annual features for all outlets; create and post appropriate signage for events
  • Arrange for office equipment maintenance or technical support
  • Support F&B department with time management, data gathering and communication for the execution of projects or events 
  • Manage the cashier back up in safe and any petty cash supply for Food & Beverage needs 
  • Work closely with PR/Marketing to ensure that F&B promotions on website and other social media platforms, internal bulletin boards are up-to-date
  • Manage all purchasing information; invoices, contracts and company credit card receipts ensuring accurate record keeping and timely submittal of documentation and reports to finance
  • Assist with the employee time tracking system including ensuring up-to-date employee schedules, handling and assisting department/division payroll (OASYS) on monthly basis
  • Assist in recruiting; schedule interviews and screening candidates
  • Manage employee training schedules and training tracking system
  • Assist  planning and implementing Food & Beverages training SOP materials

  • Handling 7 meeting rooms with total capacity of about 800 people (seated/non-seated)
  • Handling Restaurant Reservations and dealing directly with group reservations for 6 restaurant outlets
  • Responsible to meet with group coordinator / event hosts prior to functions, make introductions, and ensure that all arrangements are agreeable 
  • Preparation of BEO- Banquet Event Orders and responsible to ensure they are issued and distributed in a timely manner to all concerned internal departments/division
  • Prepare all typed materials like proposals, contracts, change forms and all other inter-departmental forms accurately 
  • Work closely with EAM – Food & Beverage  to ensure all aspects of the event have been cost effective and serviced both clients and hotel needs 
  • Tour, inspect and monitor banquet rooms and presentations 
  • Respond to requests for proposals for small meetings / events including set-up, food and beverage needs, rooms and audio visual needs
  • Ensure accurate follow up and communication internally and to the guest / client 
  • Ensure that Opera Sales and Catering / Other Banqueting software are updated daily for all event space bookings
  • Ensure that all accounts are properly updated in the banqueting system
