Description

KeyResponsibilities:

· SpeakerCommunication: Support the speaker invitation process by producingthe invitation letter (on a rolling basis), following up on RSVPs,and updating the speakertracker/databases.

· Coordination withSpeaker Managers: Collaborate with the Speaker Manager to informthem as soon as possible when speakers areconfirmed.

· Content Coordination:Collaborate with the Speakers Manager and other stakeholders toensure all event content (e.g. marketing materials) is produced andstandardized for each event.

· ContentProduction: Lead the production of some materials needed for eventsthat require in-house production (such as PowerPoint presentationslides) when needed.

· SpeakerMaterials: Support the production of speaker guides and othermaterials required for events. This will require close coordinationwith speaker managers to set up regular mentoring calls prior toevents.

· Documentation: Maintainorganized records of all materials related to the event content.This will include updating agenda details, post-eventsummaries/reports, and other forms to capture requireddata.

· Calendar Management: Be themain point of contact for inquiries, calendar reservation requests,and requests, and works closely with the Programming Manager tomaintain version control and accurately distribute information torelevant teams.

· Event Support:Provide ad-hoc support before and during the event, assist with anyurgent needs, and support speaker management andpreparation.

· Guest List: Supportguest access and manage attendee responses for privateinvitation-only events.

· Collaboratewith stakeholders: Lead coordination with internal teams andpartners to ensure successful implementation of content deliveryfor the event.

· Continuousimprovement: Staying on top of emerging trends in theconference/events industry and proposing innovative approaches toenhance coordination of programming andideas.
