About the Job
We are seeking an experienced and highly skilled Office Manager/Operations Manager to join the family office of an influential Emirati leader based in Dubai.
The Office Manager ensures seamless coordination of the Chief's schedule, optimizes time management, and facilitates the flow of information to and from the Chief's office.
You are instrumental in preparing for high-stakes meetings, managing communications, and executing a broad range of tasks that span from administrative to project management.
The Office Manager anticipates the needs, solving problems proactively, and maintaining the highest standards of confidentiality.Responsibilities:
Office Management:
Oversee the day-to-day operations of the family office, ensuring smooth functioning and efficiency.
Manage administrative tasks such as scheduling, correspondence, and document management.
Maintain office supplies, equipment, and facilities to support operational needs.
Operations Coordination:
Coordinate with internal teams and external stakeholders to facilitate seamless operations.
Develop and implement efficient processes and procedures to optimize office operations.
Monitor and manage budgets, expenses, and invoices related to office operations.
Project Management:
Assist in the planning, coordination, and execution of projects and initiatives within the officeTrack project timelines, deliverables, and milestones, ensuring timely completion and quality standards.
Communication and Liaison:
Serve as a primary point of contact for internal and external communication, handling inquiries and requests promptly and professionally.
Liaise with family members, senior executives, and external partners to facilitate effective communication and collaboration.
Represent the family office in meetings, conferences, and other business events as required.
Team Management:
Supervise and mentor administrative staff, providing guidance and support as needed.
Foster a positive and productive work environment, promoting teamwork and professional development.
Conduct performance evaluations and implement training programs to enhance team capabilities.
Qualifications:
Bachelor's degree in Business Administration, Hospitality Management, or related field.7+ years of experience in office management, operations management, or a similar role, preferably in a family office setting in the MIddle East.
Demonstrated ability to handle sensitive and confidential information with utmost discretion and always maintain confidentiality.
Proven track record of successful administration management and operational optimization.
Strong organizational and problem-solving abilities, with attention to detail and accuracy.
Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
Experience with calendar management and digital collaboration platforms is a plus.
Excellent communication skills in English, knowledge of Arabic is a plus.
