Description
Responsibilities:
- Answer and direct phone calls and cover the reception desk
- Organise and schedule appointments, meetings and book conference calls, rooms, taxis, couriers, hotels, restaurants, etc.
- Maintain contact lists
- Produce and distribute correspondence memos, letters, and forms
- Assist in the preparation of regularly scheduled reports
- Order office supplies
- Submit and reconcile petty cash expense reports
- Handle multiple projects
- Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
- Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
- Handle sensitive information in a confidential manner
- Develop and update administrative systems to make them more efficient
- Maintain uptodate employee holiday records
- Greet and assist visitors to the office
- Conduct data entry
Key Requirements:
- Have excellent interpersonal (written and verbal) skills, having a positive, pleasant and energetic personality
- Bachelor's degree or equivalent experience
- Ability to multitask
- Proficient in Microsoft Office suite
- Fluent in English
Preferred Qualifications:
- Intermediate French
- Experience in the field
