Position Overview:


Key Responsibilities:

Executive Support: Act as a trusted liaison between the Director and internal and external stakeholders, manage correspondence, schedule appointments, and maintain the Director's calendar effectively.

Travel Coordination: Arrange complex domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries. Ensure all travel plans are well-organized and aligned with the Director's preferences.

Meeting Management: Prepare agendas, take minutes, and coordinate logistics for meetings, conferences, and appointments. Follow up on action items and maintain records of discussions.

Document Management: Organize and maintain electronic and physical files, ensuring quick and accurate retrieval of important documents when needed.

Expense Management: Track and reconcile expenses, process invoices, and maintain a detailed record of financial transactions related to the Director's activities.

Project Assistance: Provide project support by conducting research, gathering data, and preparing reports as required by the Director.

Confidentiality: Handle sensitive and confidential information with the utmost discretion, maintaining a high level of professionalism and integrity.

Relationship Building: Cultivate positive relationships with stakeholders, clients, and colleagues to represent the Director and the organization in a positive manner.


Qualifications:


  • Bachelor's degree in Business Administration, Communications, or related field preferred.
  • Proven experience as a Personal Assistant or Executive Assistant, ideally supporting Clevel executives.
  • Excellent verbal and written communication skills, with an eye for detail and accuracy.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with digital communication tools.
  • Strong organizational and multitasking abilities, with the capacity to prioritize tasks and meet deadlines.
  • Demonstrated ability to anticipate needs, take initiative, and solve problems effectively.
  • Professional demeanor and the ability to maintain composure under pressure.
  • Prior experience in managing travel arrangements and coordinating complex schedules is a plus.
  • Exceptional interpersonal skills and the ability to work collaboratively in a teamoriented environment.
  • High level of integrity and commitment to maintaining confidentiality.

Salary:
AED6, AED7,000.00 per month
