Our company is looking for a talented and versatile Receptionist and Admin Assistant who can work with minimum supervision, and a fast learner who will provide variety of administrative task.
Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.Job Description:
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office
- Answer, screen and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Receive, sort and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Order office supplies and keep inventory of stock
- Update calendars and schedule meetings
- Arrange travel and accommodations, and prepare vouchers
- Keep updated records of office expenses and costs
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
- Organize and schedule appointments
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Update and maintain office policies and procedures
- Maintain contact lists
- Act as the point of contact for internal and external clients
- Liaise with executive and employees to handle requests and queries from senior managers
- Update employees data
- Prepare Monthly Petty Cash for Store and Office
- Sort all utility bills for store and office
Qualifications:
- Proven experience as an Administrative Assistant, Virtual Assistantor Office Admin Assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multitask
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
