    Our client is a leading vegetable bulk commodity trader and sea vessels logistics operator and owner .

    Proud to be a global player in the industry, procuring commodities such as corn, soybeans, wheat, barley, and more from various origins across the world, including Latin America, North America, Europe, and Asia.

    We are looking for a Front Desk & Admin Executive to be responsible for facilitating communications within the office and retrieving interactions with clients / customers.

    The duties include answering and redirecting phone calls, scheduling meetings, managing day-to-day operations, and providing personalized support for employees and executives in the office.

    The role is at a front desk and typically outgoing and friendly people who work well with many leadership personality types.

    Strong secretary or administrative assistant excel at organization, management of multiple peoples' time and expectations, and have a self-starter attitude, getting things done before others
    recognize the need. The role will be an integral part of the companys workforce.

    Responsibilities:

    • Provide front-desk coverage by managing a busy, multiline phone system, greeting guests as they enter the office, managing incoming/outgoing mail and shipments, and maintaining an organized, clean office environment.
    • Answer telephones and respond to inquiries via telephone or email.
    • Book meeting rooms, set up conference calls and take messages and minutes during meetings.
    • Perform administrative tasks, including filing and photocopying.
    • Write emails, memos and letters and take minutes of the meeting.
    • Implement and/or develop office procedures and record systems.
    • Manage database entry and client files.
    • File and update contact information of employees, customers, suppliers, and external partners.
    • Support and facilitate the completion of regular reports.
    • Make and confirm travel arrangements for executives of the company.
    • Maintain confidential department files/records.
    • Perform routine bookkeeping tasks.
    • Assist with presentations and reports.

    Qualifications:

    • Bachelors degree or equivalent in relevant field.
    • Proven work experience as a secretary or Administrative Assistant.
    • Proficient with MS Office Suite application and ERP softwares.
    • Familiarity with office organization and optimization techniques.
    • Integrity and professionalism.
    • Flexible in approach and solution driven.
    • Excellent Communication Skills and ability to thrive under high pressure environment.
    • High degree of multi-tasking and time management capability.
