We're searching for an Executive Assistant to GM to step-up and provide assistance to our leadership Team and empower our team to create memorable guest experiences.


A little taste of your day-to-day:

  • Co-ordinate and arrange activities accorded to the General Manager's office
  • Appraise General Manager of the daytoday activities of the section
  • Arrange appointments and meetings for the Hotel Manager, recording same in diary and ensure the Hotel Manager has the appropriate documentation for each appointment
  • Attend meetings such as Department Heads Meeting, Executive Committee Meeting and others as directed by the Hotel Manager
  • Take minutes of attended meetings, accurately transcribe and circulate to appropriate personnel
  • Arrange room and restaurant reservations for VIP guests/personnel
  • Prepare welcome letters for Hotel Manager's signature
  • Supporting the Reception with the check in and check out of guests & lobby duty
  • Update all guest preference and profiles to ensure a seamless guest arrival
  • Responsible for managing / balancing the inventory
  • Perform hostess duties at staff, guest and other functions as required
  • Assess priorities of work and assist in organizing Hotel Manager's priorities
  • Prepare replies to routine correspondence for Hotel Manager's signature
  • Take dictation of correspondence as required
  • Open and sort mail addressed to the Hotel Manager
  • Maintain a filing and trace system
  • Answer all incoming calls for the Hotel Manager and either transfer, redirect or take a message
  • Maintain the strictest confidentiality at all times on all matters
  • Demonstrate essential overall knowledge of the organization
  • Demonstrate familiarity with job tasks such as purchasing software and manage payroll & leave balances.
  • Understand the responsibilities of other sections and departments and cooperate with them

What we need from you:

  • Detailed knowledge of hotel reception operations
  • Ability to work under pressure and prioritize tasks
  • Advanced knowledge of Microsoft Office
  • Advanced knowledge of Opera
  • Exercises complete confidentiality and diplomacy
  • Uses initiative, selfmotivated, confident and has a professional telephone manner
  • Ability to cope under pressure, manage unpredictable workloads and handle sensitive enquiries
  • Bachelor's degree
  • 60wpm typing; shorthand or speedwriting is ideal
  • Minimum of two years in a secretarial role where experience has been gained in all aspects of secretarial work
