- Receive and direct incoming callsto appropriate personnel and voicemail.
- Respondpromptly with accurate and thorough information according to thespecific requests from employees, andvisitors.
- Greet and announce clients,applicants and visitors.
- Follow securityprocedures for recording guests, suppliers and othervisitors.
- Arrange escorts asneeded.
- Issue visitor passes and validatesparking.
- Assist with scheduling and preparingmeeting and conference rooms.
- Coordinate setupof conference/meetings rooms and associated equipment with OfficeAttendant and IT.
- Coordinate catering formeeting and events. May negotiate pricing and menus. Secureapprovals for catering expenses and review invoices to arrangebilling to appropriate department or businessunit.
- Perform general clerical dutiesassociated with distributing office faxes, packages and mail asrequired.
- Use tracking systems to recordinbound and outbound courier, freight andmail.
- Meter mail.
- Arrangemessenger service as needed.
- Follow locationsecurity procedures for screening inbounddeliveries.
- Coordinate orders for officesupplies and other common use items for the location, such ascafé supplies, equipment toner, printer paper, freightand shipping supplies etc.
- Maintain neatappearance of reception area, conference rooms, café andother common areas in coordination with OfficeAttendant.
- Request building and housekeepingservices as needed.
- Periodically inspect commonarea equipment to ensure good operating condition. Arrangeequipment service as needed.
- Maintain recordsand logs of service requests and track theirstatus.
- Maintain a file of services includingtransportation sources, accommodations, and referralcontacts.
