Department Administrator- Facility Management - Dubai, United Arab Emirates - UHRS
Description
Ensuring that all business process and procedures appertaining to Facilities practices are adhered to at all times in line with company directives and client needs.
Supporting and assisting the Destination Management Department and the Facilities team in all business procedures, filing records, distribution and verification of documents.
Core Duties and Responsibilities
SN. Description
1. One Central Operations
- Monitor and Track FM related Maintenance work requests from Departments (Venue Operations, Asset Management, Destination Management)
- PR creation for all One Central Operational / Capital expenses and track the same.
- Track Opex / Capex
- Document Management & Monthly Reports
- Review against CAFM reports
- Preparation of MDR Reporting
- KPI Reporting [CAFM Experience]
- Support FM related SLA management and monthly SLA review/ reporting as applicable
Finance
- Monthly checking & Verifying of Empower & Dewa bills for One Central
- Computing & Recharging of Utility Costs (Dewa
- Electricity & Water), Empower, Gas & Fitout Utility)
- Review Payment Certificates, Invoices against Service Delivery & agreed to contractual terms
- Monthly IBIS Allocations
- Utilities
- Monthly Closing
- Coordinating with Finance on the queries related to the recharged bills
- Petty Cash Custodian
Destination Management
- Serves as temporary support for the team in the Newly Established Department in document controlling and process organization
- Preparation of MDR Reporting
- Serves as the Department's BU Champion of the VSM Business Support group
- Assisting the BU Head of his daily mail, calendar and other tasks required
- Preparation of Memos (internal and external)
- PR creation for Destination Management Department / Capital expenses and track the same.
- Maintain Project Reports & Drawings
- Storage of Electronic and hard copy files as specified on the document management procedure
- Maintain and issue the registers with the revision status of project documents

Education:
- Bachelor's (preferred)
Experience:
Facilities Management: 4 years (required)
Venue Operations: 4 years (required)
- CAFM: 4 years (required)
- MDR Reporting: 4 years (preferred)
