KeyAccountabilities:
Greet and welcome allvisitors and guests to the facility by providing warm andprofessional hospitality on arrival. Act as the first point ofcontact for those arriving to Seddiqi Holding HQ.
Manage the needs of visitors and guests on arrival. Ensureawareness of the reason for their visit, whom they are meetingwith, the location and time of their scheduledmeeting/activity.
Check in and process all visitors andguests promptly in accordance with security procedures and protocol- ie visitor badges, access passes etc.
Notifyemployees of the arrival of visitors and guests to the facility andconfirming the location of the scheduled meeting/visits.
Facilitate service from Team Support colleagues while eitherin the arrival lounge and/or upon entering the respective meetingroom.
Maintain full awareness of the meeting room dailyschedule and provide assistance to visitors and guests to theircorrect location.
Maintain awareness of visitor andguest whereabouts on the Ground Floor and work in conjunction withSecurity as needed.
Monitor and oversee thehousekeeping of the entire Ground Floor area, ensuring Receptionarea, meeting rooms, common areas and amenities are well maintainedand presented at all times.
Arrange parking forvisitors and guests as required, in accordance with availability,policy and procedure.
Coordinate with the Team LeaderCorporate Services regarding any VIPs, special guests, clients orbrand representatives to ensure their visit is managedappropriately.
Provide feedback to the Leader CorporateServices regarding maintenance or facility related matters toensure the facility aesthetic is maintained.
Providesupport to the Team Leader Corporate Services by monitoring themovement of goods/supplies within the office, timing and locationof cheque collection and delivery, management of non-work-relateddeliveries, security protocol.
Work in collaborationwith Assistant Executive Office Managers to ensure effective andefficient handling of CxO visitors and guests including the priorarrangement of car parking and additional requirements.
Provide support as necessary to Team Support colleagues assistingvisitors and guests.
Provide support as necessary toSwitchboard colleagues.
Undertake additional tasks andresponsibilities as requested by Corporate Services Manager.
Contribute to the development and training of other CorporateServices team members.
Ensure to complete the meetingroom check list before all meetings are being conducted
Prepare reports in accordance to the operational requirements
Any additional responsibilities as advised by the LineManager or Head of Department
Skills
Withat least 4 years experience in reception, administration, guestrelations or customer service
Excellent verbal andwritten communication skills in English, Arabic is a plus
Technology savvy and knowledgeable with Microsoft OfficeSuite (Word, Excel, Powerpoint &Outlook)
