Description
Overall responsibility of managing the HR and Admn. Functions for Projects in Abu Dhabi as an HR Business Partner of the Project Team.


KEY RESULT AREAS/MAJOR ACTIVITIES

Manpower Planning and Recruitment/Selection

  • Coordinating with concerned HODs for maintaining periodic up to date Organizational Structures including summary of Position/Grade wise approved versus actual headcount.
  • Assist in Job Analysis, Evaluation and Grading.
  • Identification of vacancies and Recruitment planning in coordination with HRAD, HQO
  • Ensure availability of Job Descriptions for unique positions and also periodically update the same in coordination with HODs.
  • Complete the end to end process of recruitment, selection and onboarding process, by complying with relevant regulations and completion of all necessary documentation and records within minimum lead time.
  • Assist in developing competencies of Interviewers for effective assessment/selection, implementation of psychometric testing and other tools and Induction programme for new employees.
  • Coordinate with all concerned for mobilization of employees from other sites/countries as and when required.
  • Ensure performance assessment before completion of probation and issue confirmation letter in time.

Trade Licenses and relevant statutory compliances:

  • Renewal of existing Trade/Other Licenses/approvals.
  • Coordinating with concerned Municipality, Economic Departments and other authorities for completion of all required statutory compliances related to Projects and normal operations.
  • Coordinating with Sponsor and Ministry of Human Resources and Emiratisation and Immigration Authorities as and when required.

HRIS/Time and Attendance/Compensation and Benefits and Employee Records

  • Maintain required details on HRIS (HROPAL) system
  • Completion of all Time and Attendance related inputs (ie. Present/absent days, OT hours etc.) are provided to HQO for processing payroll of concerned employees.
  • Monitoring absenteeism and taking necessary action to minimize the same.
  • Provide assistance in timely coverage of employees under Medical and other insurance and also processing of claims under the same if any, as and when required.
  • Assist in issue of various HR related letters to employees including reassignment, promotion, increment etc.
  • Provide periodic and adhoc reports/data related to HRAD as and when required.

Learning & Development

  • Provide assistance in coordination and conducting of technical training by Company and other Contractors as and when required including planning, scheduling and conducting of technical programs.
  • Identify technical/behavioral training needs of employees and coordinate with GHRAD for conducting necessary training programme.
  • Ensure all necessary training related to Health, Safety and Environment (HSE) are conducted as and when required in coordination with HSE department.

Performance Management System (PMS)

  • Provide assistance to Group HRAD in following up with HOD for timely completion of Goal Setting, Mid-Term Review and Final Appraisal.
  • Ensure completion of all redesignation, reassignment, promotion and increment process/letters after Final Appraisal and also as and when required midterm.

Facilities Management and Administration

  • Assessing the requirement of Staff/Workmen accommodation in coordination with all concerned.
  • Ensuring enough accommodation is available to accommodate all eligible employee both existing and new and if required arranging to acquire additional accommodation within minimum lead time.
  • Complete all necessary arrangements, documentation and statutory compliance including require certifications/inspections, for existing and new own/leased accommodation.
  • Strive for continuous improvement of satisfaction of employees residing in company accommodations.
  • Ensure first aid and proactive/immediate medical attention/treatment to employees at company accommodation/site and adherence to procedure as per Medical Insurance Policy and avoid situations wherein the medical expenses have to be borne by the Company.
  • Ensuring safety, health and security of employees living in company accommodation.
  • Schedule staff welfare programs at the Camp for creating overall wellness and awareness of employees residing at company accommodations.
  • Maintenance of all related documents and records.
  • Update and provide necessary periodic/adhoc Reports related to facilities and accommodation management.
  • Providing necessary assistance to employee for obtaining driving license, leased accommodation and any other assistance in case of emergencies.
  • Fleet maintenance and allocation of transport for project execution.
  • Maintenance of inventory of office equipment, Desk Tops/Laptops, Mobiles/SIM Cards for allocation to eligible employees.
  • Management of staff mess
  • Handling Project Petty Cash
