We are seeking a highly organized and detail-oriented Administrative Assistant to join our dynamic software company.

As an Administrative Assistant, you will play a critical role in supporting our team and ensuring the smooth and efficient operation of our office.

This position requires excellent organizational and communication skills, as well as the ability to multitask and prioritize responsibilities.

You will be working closely with various departments, providing administrative support to enhance productivity and contribute to the overall success of our company.


Responsibilities:


Office Management:
Maintain a well-organized and professional office environment, including managing office supplies, equipment, and facilities. Coordinate with vendors and service providers for repairs, maintenance, and other office-related needs.

Calendar and Schedule Management:
Assist in scheduling meetings, appointments, and conferences. Coordinate with internal and external stakeholders to ensure availability and manage any scheduling conflicts. Prepare meeting agendas and necessary materials.

Document Management:
Organize and maintain physical and electronic files and records. Ensure that documents are properly labeled, filed, and easily accessible. Implement and maintain efficient document management systems.

Meeting Support:
Assist in organizing and preparing for meetings, including scheduling, room setup, audiovisual setup, and coordination of materials. Take meeting minutes and distribute them to relevant parties. Follow up on action items and deadlines.

General Administrative Support:
Provide general administrative support to various departments as needed, including data entry, scanning, photocopying, and faxing. Assist with special projects, event planning, and other administrative tasks.


Qualifications:

  • High school diploma or equivalent; additional certifications or relevant education is a plus.
  • Proven experience as an administrative assistant or in a similar role, preferably in a software or technology company.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy in work.
  • Exceptional written and verbal communication skills.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • Strong interpersonal skills and the ability to work effectively in a teamoriented environment.
  • Adaptability and flexibility to handle changing priorities and work under pressure.
  • Familiarity with office equipment and basic troubleshooting skills.

Salary:
AED2, AED2,500.00 per month


Ability to commute/relocate:

  • Abu Dhabi: Reliably commute or planning to relocate before starting work (required)

Experience:

- administrative assistant: 1 year (preferred)
