    Youll be responsiblefor:

    • Provides informalguidance to more junior roles.
    • Supports diary management for ProjectDirector/Project Manager alongside Office Manager.
    • Ensures team members are aware ofadministration processes.
    • Assist with set up project office forexample arrange IT equipment and office furniture.
    • Creates and maintains electronic andhard copy filing systems.
    • Ensures staff have complete andregularly update their Infomace staff home page.
    • Arranges the set up project emailaddresses and Outlook mailboxes for the Project performing regularfiling of Project Inbox emails.
    • Processes all incoming correspondenceand produce all outgoing correspondence and records in accordancewith the Mace Way.
    • Archivesall project documentation and retain complete records for hand overto Client upon project completion.
    • Places orders from Macesuppliers.
    • Assists in thebooking of meeting rooms for all meetings arrangingrefreshments/lunches for Client/external meetings.
    • Maintains a log of Mace trainingrecords and arrange tests/training when required.
    • Manages petty cash andreconciliations for accounts department and recovery.
    • Provides administrative supporttyping letters minutes reports etc. as necessary.
    • Updates Project Directory as and whenrequired issue via email and upload to Conject distributing toProject Team.
    • Coordinatesite visits for both Client and Project Teams.
    • Manage site meeting roomdiary.
    • Workscollaboratively towards the common goal of net zero carbontransition and share responsibility for the proactiveidentification and management of the associated carbon emissionsand reductions during the delivery of work.

    Youll need tohave:

    • Expert level experienceof IT skills covering Microsoft Office applications including ExcelWord Outlook and PowerPoint.
    • Experience using Office 365Applications and Apple Devices.
    • Advanced writing and proofreadingskills with attention to spelling and grammar.
    • Advanced typingskills/ability.

    Youll alsohave:

    • Experience inInformation Management from one or more projects andprogrammes.
    • Good writtenand oral communication used to working with differentstakeholders.
    • Disciplinedmethodical and organised.
