- Manage calendars, meetings, and day-to-day schedules for senior executives
- Draft, edit, and prepare reports, presentations, and business documents
- Maintain organized filing systems and confidential records
- Serve as a liaison between the executive team and internal/external stakeholders
- Coordinate travel arrangements, including flights, hotel bookings, and itineraries
- Ensure seamless communication flow across departments
- Organize meetings, conferences, and internal events
- Prepare agendas, take minutes, and follow up on deliverables
- Ensure all materials and logistics are arranged in advance
- Handle confidential information with a high level of professionalism
- Ensure secure management of sensitive documents and data
- Oversee office supply management and administrative processes
- Assist HR with onboarding, documentation, and general coordination tasks
- Bachelor's degree in Business Administration, Secretarial Studies, or a related field
- 5 - 7 years of experience in a similar executive support role (required)
- Strong command of Microsoft Office (Excel, Word, PowerPoint, Outlook)
- Excellent communication skills in English (Arabic is a plus)
- Proven ability to multitask and manage priorities independently
- High attention to detail, discretion, and professionalism
- Prior experience in the signage or outdoor media industry is an added advantage
