Responsibilities:


Reception Duties:

  • Greet and welcome guests in a professional and friendly manner.
  • Answer incoming calls and redirect them appropriately.
  • Maintain a clean and organized reception area.

Personal Assistant Duties:

  • Manage the businessman's calendar and schedule appointments.
  • Make travel arrangements, including flight bookings and hotel accommodations.
  • Prepare meeting materials and assist with presentation coordination.
  • Handle personal errands and tasks, such as managing personal finances, shopping, and reservations.

Administrative Support:

  • Provide general administrative support, such as drafting documents, maintaining records, and filing paperwork.
  • Monitor office supplies inventory and place orders as necessary.
  • Assist in organizing company events and meetings.
  • Collaborate with other team members to ensure smooth operations across the organization.
  • Providing comprehensive administrative support to the owner, including managing calendars, coordinating travel arrangements, and organizing meetings.
  • Assisting with daytoday operations, such as managing and organizing correspondence, drafting documents, and maintaining filing systems.
  • Handling customer inquiries and feedback and resolving any complaints or issues effectively and efficiently on digital platforms and social media handles.
  • Assisting with staff training, introducing KPIs and SOPs while ensuring adherence to company policies, and monitoring performance to drive productivity and profitability.
  • Collaborating with various departments to ensure smooth communication and efficient workflow across the businesses.
  • Promoting the businesses on digital channels (Instagram, Facebook, Snapchat, Google Map and Google Ads, Trip advisor, etc) and overseeing the advertisement campaigns and marketing targets needed (SEOs, websites, etc)
  • Develop key collaboration opportunities with influencers, bloggers and partnership deals
  • Daily schedules of the owner when needed
  • Oversee employee files and expiries and renewals (visas, daman, emirates ID, labor card, insurance, etc)
  • Filter tasks that come through and escalate the ones that require the owner's attention
  • Remind and oversee payment schedule of utilities, rent, salaries, and other Opex costs
  • Support with researching latest trends and market opportunities to enhance the business groups performance
  • Handle HR functions and support in job creation, ad placements as required, screening, shortlisting and hiring for vacant roles
  • Handle procurement functions and third party suppliers negotiations
  • Liaise with accountant to ensure adequacy of reports
  • Manage and create if needed WhatsApp groups with dedicated tasks and project timelines
  • Organize shared folders and cloud folders of all documents organized by business and year format
  • Fill in meeting minutes, followups and action points to achieve tasks in a timely manner

Requirements:


  • Previous experience as a Personal Assistant or Receptionist is highly desirable.
  • Excellent communication skills, both verbal and written.
  • Strong organizational and time management skills.
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive and confidential information with discretion.
  • A professional, friendly, and approachable demeanor.
  • Ability to multitask and prioritize tasks effectively.
  • Strong attention to detail and problemsolving skills.
  • Flexibility to work outside of regular business hours, if necessary.
This position will entitle you with seniority over a majority of the staff.

AED3, AED4,500.00 per month
