    Secretary - Tagalog Speaker - Dubai, United Arab Emirates - Black Pearl Consult

    Description

    Our client awellknown physiotherapy medical center in Dubai UAE is currentlyrecruiting forSecretary.

    Providehighlevel administrative support to one or more executivesincluding managing schedules arranging appointments coordinatingtravel and organizingmeetings

    Handle incomingand outgoing communications on behalf of the executive includingphone calls emails and correspondence. Draft and prepare documentsreports andpresentations.

    Manage theexecutives calendar including scheduling meetings appointments andevents. Coordinate with other team members and external parties toensure efficient use of the executivestime.

    Organize andmaintain files records and documents in both physical and digitalformats. Ensure that information is readily accessible andwellorganized.

    Assist in thecoordination and management of various projects and initiatives.This may involve liaising with different departments trackingproject progress and providing support asneeded.

    Handle sensitiveand confidential information with discretion and professionalism.Maintain confidentiality regarding the executives activitiesdecisions andcommunications.

    Build andmaintain positive relationships with internal and externalstakeholders including clients colleagues vendors and partners.Serve as a point of contact for inquiries andrequests.

    Anticipate andaddress potential issues or challenges proactively. Troubleshootproblems as they arise and find effective solutions in a timelymanner.

    Provide supportto the executive in decisionmaking processes by conducting researchgathering information and preparing relevantmaterials.

    Assist in theplanning coordination and execution of meetings including preparingagendas taking minutes and following up on actionitems.

    Utilize varioussoftware and tools effectively to streamline administrative tasksmanage information and communicate efficiently. This may includeproficiency in word processing spreadsheets presentation softwareemail clients and calendarapplications.

    Beflexible and adaptable to changing priorities and demands.Prioritize tasks effectively and manage multiple projectssimultaneously.

    Represent theexecutive and the organization in a professional and courteousmanner at all times. Demonstrate integrity reliability andprofessionalism in all interactions andresponsibilities.



    Requirements


    Bachelors degreepreferred.

    Minimum 2years ofexperience

    Prior experience in an admin role preferably in a healthcaresetting.

    Excellent communication and organizationalskills.

    Proficiency in Officesoftware.

    Ability to multitask prioritize tasks and work efficiently in afastpacedenvironment.

    Commitment to maintaining patient confidentiality and privacystandards.

    Willingness to work flexible hours including evenings and weekendsas needed.
