    Secretary - Tagalog Speaker - Dubai, United Arab Emirates - Black Pearl Consult

    Description

    Our client a wellknown physiotherapy medical center in Dubai UAE is currently recruiting for Secretary.

    Provide highlevel administrative support to one or more executives including managing schedules arranging appointments coordinating travel and organizing meetings

    Handle incoming and outgoing communications on behalf of the executive including phone calls emails and correspondence. Draft and prepare documents reports and presentations.

    Manage the executives calendar including scheduling meetings appointments and events. Coordinate with other team members and external parties to ensure efficient use of the executives time.

    Organize and maintain files records and documents in both physical and digital formats. Ensure that information is readily accessible and wellorganized.

    Assist in the coordination and management of various projects and initiatives. This may involve liaising with different departments tracking project progress and providing support as needed.

    Handle sensitive and confidential information with discretion and professionalism. Maintain confidentiality regarding the executives activities decisions and communications.

    Build and maintain positive relationships with internal and external stakeholders including clients colleagues vendors and partners. Serve as a point of contact for inquiries and requests.

    Anticipate and address potential issues or challenges proactively. Troubleshoot problems as they arise and find effective solutions in a timely manner.

    Provide support to the executive in decisionmaking processes by conducting research gathering information and preparing relevant materials.

    Assist in the planning coordination and execution of meetings including preparing agendas taking minutes and following up on action items.

    Utilize various software and tools effectively to streamline administrative tasks manage information and communicate efficiently. This may include proficiency in word processing spreadsheets presentation software email clients and calendar applications.

    Be flexible and adaptable to changing priorities and demands. Prioritize tasks effectively and manage multiple projects simultaneously.

    Represent the executive and the organization in a professional and courteous manner at all times. Demonstrate integrity reliability and professionalism in all interactions and responsibilities.



    Requirements


    Bachelors degree preferred.

    Minimum 2 years of experience

    Prior experience in an admin role preferably in a healthcare setting.

    Excellent communication and organizational skills.

    Proficiency in Office software.

    Ability to multitask prioritize tasks and work efficiently in a fastpaced environment.

    Commitment to maintaining patient confidentiality and privacy standards.

    Willingness to work flexible hours including evenings and weekends as needed.
