Description
The Automotive Administrative Assistant provides comprehensive administrative support to the automotive department within a company or organization.

This role involves handling various administrative tasks, coordinating communications, and assisting with the smooth functioning of daily operations in the automotive department.


Key Responsibilities:

Data Management:

Maintain and update databases, spreadsheets, and other relevant records, ensuring accuracy and confidentiality.

Document Preparation:

Draft, format, and proofread documents, reports, presentations, and correspondence related to automotive operations.

Filing and Organization:

Manage electronic and physical filing systems, ensuring documents and records are appropriately organized and easily accessible.

Communication Coordination:

Facilitate effective communication within the automotive department and with external stakeholders, including customers, suppliers, and other departments.

Meeting Coordination:

Schedule and organize meetings, conferences, and travel arrangements for automotive department staff, ensuring all logĂ­stical details are handled efficiently.

Inventory Management:

Assist in managing inventory levels of automotive supplies, parts, and equipment, coordinating with suppliers and ensuring timely reordering.

Budget Support:

Assist in budget preparation and monitoring, tracking expenses, and maintaining financial records.


9.


Customer Service:

Provide exceptional customer service by answering inquiries, resolving complaints, and maintaining positive relationships with customers.


Requirements:


  • High school diploma or equivalent; additional education or certification in administration or automotive management is a plus.
  • Proven experience as an administrative assistant or in a similar role, preferably within the automotive industry.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with database management systems.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy in data entry and recordkeeping.
  • Effective communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
  • Ability to handle confidential information with discretion and maintain a high level of confidentiality.
  • Strong problemsolving skills and the ability to work independently or as part of a team.
  • Knowledge of automotive terminology, industry trends, and basic understanding of automotive operations is an asset.
  • You must be speaking, reading, and writing English.
  • You must be speaking Arabic (reading and writing Arabic is a plus).

Salary:
From AED3,500.00 per month
