    Description

    Job Purpose:

    As an event producer, your duties include working on every aspect of an event from before the doors open until after the event ends. The execution of the event on the event day is one of your key responsibilities. However, planning the event is also significant part of the production process. When you coordinate events, you work with vendors to ensure each piece falls in place. Your role requires you to act both as creative director and manager and you supervise a significant number of staff and vendors across all departments and operations.

    Other duties include creating floorplans, overseeing decor, inspecting event sites, and managing the event budget assigned by the client. With specification to conference producer your duty is to deliver all aspects of the conference, as the lead owner of content, the product, and relationships within the industry.

    Key Responsibilities:

    1. Event Planning and Coordination

    • Conceptualize and plan events and conferences according to client or organizational objectives.
    • Develop and maintain event timelines and project plans.
    • Coordinate logistics, such as venue selection, catering, audio-visual requirements, and transportation.

    2. Budget Management:

    • Develop and manage event budgets, ensuring that expenses align with the allocated funds.
    • Negotiate with vendors and suppliers to secure cost-effective services.

    3. Program Development:

    • Collaborate with stakeholders to create event programs that meet the objectives and expectations of clients or organizers.
    • Select and coordinate speakers, presenters, and entertainment.

    4. Marketing and Promotion:

    • Develop marketing strategies to promote events and conferences.
    • Create promotional materials, including brochures, websites, and social media content.
    • Collaborate with marketing teams to maximize event visibility.

    5. Registration and Attendee Management:

    • Set up and manage registration processes, including online registration systems.
    • Communicate with attendees and provide necessary information before and during the event.
    • Oversee the on-site registration process.

    6. On-Site Management:

    • Coordinate event setup, ensuring that all elements are in place before the event begins.
    • Manage on-site logistics, troubleshoot issues, and oversee the smooth execution of the event.

    7. Post-Event Evaluation:

    • Collect feedback from clients, stakeholders, and attendees.
    • Analyze event metrics and assess the success of the event against predetermined goals.
    • Create post-event reports and recommendations for future improvements.

    8. Team Management:

    • Supervise and lead a team of event staff, including coordinators, assistants, and volunteers.
    • Delegate tasks and responsibilities to ensure the efficient execution of the event.

    9. Compliance and Risk Management:

    • Ensure compliance with relevant regulations and industry standards.
    • Identify and mitigate potential risks associated with the event.

    10. Continuous Learning:

    • Stay updated on industry trends, best practices, and new technologies in event planning.

    Qualification & Experience:

    • Bachelor's degree in Marketing, Communications, or related field.
    • Proven experience in Event & Conference Production with minimum 6 Years of Experience in Event.
    • Strong understanding of Event Industry Trends: Hybrid and Virtual Events, Technology Integration, Sustainability Initiatives, Personalized Experiences & Immersive Experience.
    • Excellent organizational, communication, and interpersonal skills.
    • Proficiency in event management tools and platforms.
