    Description

    1. Deliver high quality customer service toall visitors and staff, representing the Academy in a professionalmanner.

    2. Greet visitors in a friendly andhelpful manner.

    3. Have a strong knowledge of thekey information about the Academy.

    4. Offerguidance and assistance to parents through the student registrationand admission process during the initial enquirystage.

    5. Carry out reception duties, includingreceiving people, answering queries, scheduling appointment andupdating student attendance information such as late comers andearly leavers.

    6. Respond to telephone calls andenquiries courteously and direct calls to appropriate personnel,using the Referral System.

    7. Receive, direct andrespond to emails of behalf of the Senior Leadership Team (SLT) asappropriate.

    8. Type, proofread and distribute avariety of material such as letters, Mails and reports. Includeentering, amending and retrieving information as necessary forGovernment & Private School registration andAldar' s systems (e. g Adek, Esis, Tarasol,etc.)

    9. File correspondence and other recordsrelated to the activities of the Division. Maintain and updatefiles. Establish and improve own filing system. Raise andrequisitions, maintain and distribute office stationery andsupplies.

    10. Log admissions enquiries into theMIS – data base.

    11. Compile orcoordinate the compilation of data, and prepare in the form ofreports, analysis, Class list attendance, etc. Distribute data asinstructed. Draft letters/memos and routine correspondence. Screenoutgoing correspondence before approval.

    12.Receive, sort and distribute all incoming mail. Prepare outgoingmail for dispatch. Maintain a proper register for incoming/outgoingmail. Ensure direct delivery of confidentialmaterial/mail.

    13. Attend administration teammeetings for latest updates on school operations, takingsuggestions and feeding in feedback.

    14.Administer the Engage system such as compiling engage rolloverreports on excel, entering data into the system(students' and teachers' allocation toclassrooms/divisions, creating, renaming, deletingdivisions/classes for new Academic Year etc.)

    15.Coordinate housing related communications with teachers andlandlord.

    16. Responsible for communications toparents, where appropriate.

    17. Process anystudent leavers forms for whole school, update Engage and forwardto Admissions.

    18. Assist GRE and admin team withadmin tasks including but not limited to ADEK compliance,communication, reports, translations, drafting,etc.

    19. Liaise with teaching and non-teachingstaff and respond to enquiries on matters within thepostholder's responsibility.

    20. Designnew documents, where necessary, to improve Academy'seffectiveness.

    21. Perform a variety of admin andclerical support work which supports school (staff and student)compliance in line with ADEK and schoolrequirements.

    22. Cover reception whenreceptionist is on breaks or on leave, including rotational leavecover.

    23. Attend any training deemed necessaryin relation to the role of Admin support.

    24.Assist with tasks assigned as and when required by themanagement/SLT team.

    25. Undertake any otherreasonable duties within the overall function.

    REQUIREMENTS:

    Minimum Qualifications:Bachelor's degree.

    Minimum Experience:Two years' experience in a similarrole.

    Job Specific Knowledge& Skills:

    1.Proficient in operating PC, Photocopier, and various officemachines.

    2. Proficient in Microsoft Officeprograms, and Outlook 365.

    3. Excellentcommunication skills in English and Arabic (written andoral).

    4. Customer focused role in theregion.

    5. Strong interpersonal skills to aid indaily contact with parents in a diverse multi-culturalenvironment.

    6. Excellent office managementskills.
