A Groups, Conference & Events Sales Coordinator for the Waldorf Astoria Dubai International Financial Centre will maximise revenue opportunities in the areas of conferences and events by driving sales leads and increasing conversions.

What will I be doing?

As Groups, Conference & Events Sales Coordinator for the Waldorf Astoria Dubai International Financial Centre, you will maximise revenue opportunities in the areas of conferences and events by driving sales leads and increasing conversions.

The Groups, Conference & Events Sales Coordinator will interact frequently with guests and customers with the intention of earning repeat and expanded business.

Specifically, a Groups, Conference & Events Sales Coordinator will perform the following tasks to the highest standards

Assist the GC&E Team in converting existing business leads
Prospect new business opportunities
Su bmit all DTCM/CID license permits on the system for all events taking place in the property
Handle inquiries and expedite overall team response time
Support the GC&E Team in daily administrative activities
Conduct daily prospect calls and report client feedback and potential opportunities
Assist the team in site inspections and house tours to promote facilities and services
Handle business leads for relatively small groups guests)
Organize and distribute all administrative documents (BEO, Group resumés, etc.)
Act as link between Client, GC&E team and Operations
Manage discussions on events and group reservations on smaller scale guests)
Assist the team in drafting offers, contracts and general correspondence with guests
Handle partner programs: Hilton Honors, Meeting Planner, Meeting Brokers and Cvent
Coordinate with field sales team on potential business leads
Follow up with reservations team to ensure all PMS data is in line with contract obligations
Issue proforma invoices and follow up on deposits in compliance with applicable operating procedures
Manage and update customer index file (Accounts and Contacts in Delphi)
Perform Delphi quality check and ensure all data is compliant with standards
Enter all necessary data and activities in Delphi Sales and Catering, promptly and accurately
Follow Up on all cut off and decision due dates
Control invoice completeness and payment process in adherence with Hilton sales guidelines
Operate all filing and report distribution efficiently
Participate and support additional Sales and Marketing activities as requested

Previous experience in similar role
Proficiency in Arabic language in order to submit all DTCM/CID license permits on the system
Very good organisational and administration skills
Positive attitude and excellent communication skills
Commitment to delivering a high level of customer service
Confident telephone manner
Very good presentation skills
High level of IT skills
Excellent grooming standards

It would be advantageous in this position for you to demonstrate the following capabilities and distinctions:

Demonstrated previous experience working in the Conference and Events function
Previous experience in a luxury environment
Knowledge of the hotel property management systems OnQ
