ABOUT US

The Role
You'll support our Executive Management Team, especially our CEO, and carry out a wide variety of Administrative duties.

We'll be relying on you to be able to multi-task as this is a super-busy, international role in a growing tech startup.

Our Exec Team regularly fly to our other offices and locations, so you'll be flexible and happy to problem-solve at short notice.


It's absolutely essential that you've managed diaries and international travel arrangements for senior management and you'll have excellent verbal and written English, you'll be able to communicate effectively with everyone in the business.

You MUST be upbeat, cheerful, calm, resilient and used to working in a busy environment, multi-tasking is one of your key strengths


You will:


  • Manage the busy diaries of our CEO and CFO, ensuring all meetings are prioritise and scheduled accordingly and appropriately, according to timezones.
  • Arrange and coordinate internal and external meetings, including executive and management meetings, Board meetings, external stakeholders and clients.
  • Prepare and coordinate meeting collaterial, materials, meeting agendas, presentations, and reporting.
  • Be the face of MishiPay, meeting and greeting external guests, ensuring meeting rooms are booked, and visitors are looked after in a professional and friendly manner.
  • Coordinate global travel arrangements, booking international flights and accommodation.
  • Distribute and store correspondence where necessary
  • Maintain and update office supplies and equipment
  • Assist with recruitment administration where necessary, onboarding and also offboarding where appropriate
  • Schedule inhouse and external events, working closely with our international team

Requirements:


  • You will have proven EA experience in a busy startup, where you'll have dealt with international offices.
  • Your multitasking experience will speak for itself and you'll be amazing at prioritising and ensuring all deadlines are met
  • Excellent diary management experience with the ability to juggle very busy schedules, conflicting demands and constantly changing priorities
  • Ability to work closely and build trustworthy, collaborative relationships at all levels of seniority internally and externally
  • A strong academic background.
  • Experience in managing diaries and travel arrangements for senior individuals within a business.
  • Excellent communication skills, written and spoken
  • A resilient, calm approach, you won't get phased under pressure.
  • Flexibility, perseverance and commitment to supporting the team as we grow
  • A real passion for tech startups
  • Be able to think on your feet to offer solutions where needed.
