Administrative Assistant -DKG Diving Service LLC Ajman
Job Summary
The Administrative Manager will be responsible for overseeing the central administrative functions necessary to support DKG Diving Service LLC's complex, international commercial diving operations (Air, Mixed Gas, Saturation Diving) across the Middle East, India, and Southeast Asia. This role is pivotal in ensuring regulatory compliance, efficient manpower and equipment logistics, and meticulous documentation and record-keeping for projects serving the Marine, Shipping, and Offshore Oil & Gas sectors.
Key Responsibilities
1. Manpower & Personnel Administration
- Diver Certification and Compliance: Maintain a comprehensive and current database of all operational personnel, ensuring all commercial divers and technicians hold valid, in-date certifications (IMCA, ADAS, HSE, ADCI, Classification Society endorsements, medicals, etc.).
- Logistics Coordination: Manage the end-to-end travel logistics for dive teams, including visas, international work permits, flights, and accommodation for deployment to vessels, rigs, and remote project sites.
- HR Liaison: Coordinate with the HR department on administrative tasks related to personnel on rotation, including timesheet approval, onboarding/offboarding documentation, and mandatory training scheduling.
- Payroll Support: Provide verified personnel and project-hour data to the Accounts department for accurate and timely payroll processing.
2. Operational & Project Support
- Equipment Documentation: Oversee the administrative record-keeping for all major diving equipment (Saturation Systems, LARS, Air/Gas Spreads), including maintenance logs, calibration certificates, and certification expiry dates, ensuring readiness for client audits and vessel mobilization.
- Procurement & Inventory: Manage the sourcing, purchasing, and inventory of critical office supplies, spare parts, and consumables required for both office function and project mobilizations.
- Vendor Management: Handle administrative relationships with key external vendors, suppliers, and service providers (e.g., travel agents, accommodation providers, freight forwarders), including contract filing and invoice processing.
- Tender/Bid Support: Provide essential administrative support to the Business Development team by preparing, organizing, and ensuring the completeness of company profile documents, certifications, and licenses required for tender submissions.
3. Compliance, Finance, & General Office Management
- Corporate Document Control: Ensure all company legal documents, trade licenses, ISO certifications, and Classification Society approvals (e.g., IACS members) are valid, filed, and easily retrievable for immediate audit requirements.
- Office Operations: Oversee the daily operations of the office, including managing the administrative team, coordinating meetings, and handling incoming/outgoing correspondence.
- Budget Support: Assist the finance department with expense tracking, petty cash management, and compiling administrative budget reports.
- Confidentiality: Handle highly sensitive commercial, personnel, and client data with the utmost discretion and ensure compliance with internal data protection policies.
4. Required Qualifications & Skills
- Education: Bachelor's degree in Business Administration, Management, or a related field.
- Experience: Minimum 3-4 years of progressive administrative experience, with a significant portion in a technical service environment such as Offshore Oil & Gas, Maritime, Engineering, or Commercial Diving.
- Technical Acumen: Familiarity with the terminology and administrative requirements of the commercial diving industry (e.g., IMCA guidelines, IACS documentation, Saturation Diving logistics).
- Software Proficiency: Advanced proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint) and experience for tracking personnel and assets.
- Core Skills: Exceptional organizational, multi-tasking, and communication skills; high attention to detail is critical for compliance and certification management.
