Description

Business Process Design and Support:


  • Identify and design business processes to support administrative tasks for event management, production, business development department, and media companies.

Compliance and Permit Management:


  • Process permits and licenses required for company and project operations, ensuring compliance with relevant regulations and coordination with authorities.

Tender Preparation and Coordination:


  • Oversee and coordinate the preparation of tender documents, ensuring compliance with submission requirements and deadlines. Collaborate with internal teams to gather necessary information for tender submissions.

Logistics Coordination:


  • Coordinate and manage all logístical aspects of company requirements, including projects, venues, company vehicles, transportation logistics, accommodations, and equipment.

Process Improvement:


  • Identify process bottlenecks, redundancies, and areas for improvement, and implement solutions to enhance workflow efficiency.

Vendor Management:


  • Oversee external vendors, negotiate contracts, and ensure services are delivered according to agreedupon terms and quality standards.

Communication and Customer Service:


  • Establish clear channels for sharing information, feedback, and updates. Serve as the primary point of contact for customer inquiries, feedback, and complaints.

Risk Management:


  • Identify potential operational risks associated with company and projects and implement strategies to mitigate them.

Quality Assurance:


  • Implement quality assurance processes to maintain high standards of creative excellence and service delivery.

Reporting and Stakeholder Management:


  • Generate regular progress reports, provide updates to stakeholders and senior management, facilitating informed decisionmaking and ensuring transparency.

Technology Integration:


  • Leverage technology and digital tools to streamline operations, enhance collaboration, and improve client experiences.

Facilities Management:


  • Manage setting up of offices, internal infrastructure modifications, layouts, space allocations, work, and asset management, and building maintenance.

Material and Information Collection:


  • Collect material and information in due time to ensure support of business processes and project execution.
  • Coordination and Milestone Management:
  • Coordinate with all companies and departments on milestones and timely completion of activities related to projects.

Experience:

Proven track record of successfully managing operations and projects, meeting deadlines, and achieving targets.

Experience in vendor management, contract negotiation, and ensuring service delivery according to agreed-upon terms.

Experience in facilities management, including office setup, infrastructure modifications, and building maintenance.

Experience in risk management, including identifying operational risks and implementing strategies to mitigate them.

Experience in using technology and digital tools to enhance operational efficiency and improve client experiences.


Ability to commute/relocate:

  • Abu Dhabi: Reliably commute or planning to relocate before starting work (required)

Experience:
