    Our organization is looking for a skilled anddetailoriented Executive Secretary to join ourteam. The preferred candidate should be highly organized with ademonstrated ability to handle a fastpaced environment and managemultiple tasksefficiently.

    Requirements:

    • Proven experience as an Executive Secretary ExecutiveAssistant or similar role supporting seniorlevelmanagement
    • Must have knowledge in constructionprocess and work procedure
    • Proficiency inoffice software and applications (MS Office suite calendar/emailmanagement tools etc.)
    • Minimum 3 yearsexperience
    • Excellent organizational andtimemanagement skills with the ability to prioritize tasksefficiently
    • Strong English written and verbalcommunication skills
    • Discretion andtrustworthiness when handling sensitive information
    • Experience in using Aconex will be addedadvantage.

    Responsibilities:

    • Answering phone calls and redirect them whennecessary
    • Assisting the manager andcolleagues
    • Manage office supplies stock andplace orders
    • Maintain cleanliness ofoffice
    • Manage petty cash report
    • Organize a filing system for important and confidentialcompany documents
    • Answer queries by employeesand clients
    • Distribute office correspondence(e.g. letters memos emails etc.)
    • Prepare themonthly invoices of projects
    • Follow up pendingpayments
    • Assisting payroll officer to verifythe staff duties at sites
    • Sending inquiries tothe suppliers
    • Posting job vacancies in onlineplatform sorting of candidates CV if necessary
    • Initiate and update Online / Offline Registration of theCompany and prepare the documents obtain relevant information forthe Prequalification.
    • Prepare submittaldocuments to Consultant (e.g Method Statement Materialsetc.)
    • Regular checking of the Tender Portalsfor any new initial projects that we can participate.
    • Support and facilitate the completion of regularreports
    • Assist in preparing commercial andtechnical documents for tender submission.
    • Receives tracks and monitors documents using standarddocument management programs to register documents maintaindatabases and produces logs transmittals and other reports asrequired. Initiates and replies to routine correspondence relatedto area of responsibility.
