    ChampionX has animmediate need for aFacilities CoordinatorDistrict Administrator & Receptionist based inDubai UAE. In this role the incumbent isresponsible for ensuring the optimal working environment for allChampionX members. They will be the first point of contact forinternal and external customers seeking support and information.The facilities coordinator will provide district administrativesupport and manage office functions including: work ordercoordination security badge and access assignments databaseinput/management daily office operations coordination ofbudgeting/accounting maintaining and providing general supportservices for the divisional staff.

    What You Will Do:

    • Follow safety policies to provide asafe workplace for all employees and supports the guidingprinciples of Goal Zero to continually improve the plants safetyhealth and environmental performance security design developmentmanufacture storage marketing distribution use and ultimate safedisposal of chemical products. Drive culture of safety; Reportsafety observations / incidents
    • Supports and is committed to the QualityImprovement Process. Plans strategies to ensure errorfree work bydoing it right the first time and conveys this attitude in thedaily performance of various duties in our drive continuousimprovement.

    General Responsibilities:

    CompleteH&S site checks and paperwork: including:

    • Fire Marshals and First Aidersrecruitment training and monitoring. Organize regularmeetings.
    • Organizingstatutory compliance and records e.g. fire systems servicingelectrical testing etc.
    • Report any H&S issues DSE assessments monitoring andreporting

    Ensure all PPMs are carried out as per agreedschedule:

    • Organize regularreview meeting with all key contractors.
    • Proactive management of onsite cleaning teamwith logbook highlighting any issues
    • Manage office security system make arrangementsfor security services and administer employeesaccess

    Monitor inventory of office supplies and the purchasingof new material with attention to budgetary constraints:

    • Control of general office supplieskitchen supplies storage room of supplies by ordering andresponding to specific supply requests within a preapprovedbudget;
    • Manage officevendors and monitor their performance;
    • Organize and maintain the common office areasincluding storage archive copy areas and kitchen and meeting roomspaces;
    • Place orders viaSAP & BOT

    Assist with officelogistics:

    • Participate inthe orientation of new staff re office functionality desk space andprocesses;
    • Coordinate allmeeting rooms ensuring that they are fully functional prior to anyscheduled meeting and assist the meeting organizer in getting thesystem started prior to the meeting(s)

    FacilitiesSupport:

    • Manage dailyfacilities requests from staff for equipment repairs specialorders
    • Maintain officeequipment by completing preventive maintenance troubleshootingfailures calling for repairs and monitoring equipmentoperation
    • Schedule andcoordinate regular disposals and maintain accurate inventory recordof assets by completing counts as required;
    • Maintain major office equipment and systems(such as A/V equipment in meeting rooms HVAC system alarmsystems)
    • Establish andmaintain an efficient working relationship with property buildingcontractors and selected facilities contractors. Monitor andmaintain the office files
    • Manage and execute Dubai Office related projects relating to Dubaigoverning bodies (Trakhees RTA JAFZA)
    • Planning and coordinating administrative officeresponsibilities including covering Office Reception duringleave.
    • Manage the plant& office allocation
    • Other administrative tasks as assigned by theCorporate Services Manager
    • Liaising with JAFZA when required & coordinate the processof license renewal

    District AdministrationSupport:

    Quotation processmanagement:

    • ProformaInvoices preparation and submission
    • Tender Response commercial documentcoordination and assembling
    • Data storing and filing

    Order Processmanagement:

    • Forms to DataIntegrity and Marketing (Customer Master Form Ship ToSPA)
    • Correspondence withCustomer Service / Procurement
    • Correspondence with Clients ref. Orderhandling
    • Use and manageSAP/ CRM for order control and tracking salesperformance
    • Ordersmanagement database uploading and reporting

    Customers datafiling:

    • Commercial Filesarchiving and maintenance
    • Register all intermediaries with securimate system insure they areFCPA checked and approved

    District Purchasing Processmanagement:

    • Supplier setupin SAP
    • Preparation ofPurchase Requisition form
    • Contact with PAG team for order entry andfollowup
    • Point of contactwith Supplier for order control and deliverydetails

    Administration:

    • Generate month report and follow up with the salesteams
    • Safety supportpolicies compliance at workplace
    • Quality support compliance and ISOprocedures

    Minimum Education andExperience:

    • 4years of experience in related role
    • Able to workindependently.
    • Strongorganization sense of urgency prioritization and multitaskingskills.
    • Must takeownership of workload and make decisions independently based onpolicy and customer needs.
    • Must have strong Microsoft Excel Word Power Point and Wordskills.

    Preferred Qualifications:

    • Associates degreepreferred.
    • Understand andpractice Company and Customer safety policies andprocedures.
    • Ability toplan and organise effectively to meet the demands of the business.
    • Problem solver andcritical thinker
    • Ensurecomputer literacy e.g.: Microsoft Word MS Project Excel PowerPoint& Outlook through experience andtraining.
    • Good timemanagement skills.
    • Arabicadvantageous
