Responsibilities:
Good Communication Skills:
- Engage with patients and visitors in a friendly and professional manner.
- Effectively communicate with both patients and colleagues to ensure smooth operations.
Always Smiling and Welcoming:
- Create a warm and inviting environment for patients as they enter the clinic.
- Maintain a positive and approachable demeanor to enhance the patient experience.
Phone Management:
- Answer and redirect incoming phone calls promptly and courteously.
- Efficiently manage appointment inquiries and provide necessary information.
Appointment Scheduling:
- Utilize various scheduling platforms, including our website, Google Maps, direct communication bookings (Phone, Whatsapp, SMS) and other specialized appointment software.
- Responsible for accurately assigning all scheduled appointments into the electronic health records software.
- Coordinate with dental staff to ensure efficient scheduling and mínimal wait times.
Electronic Medical Records:
- Proficiently navigate and update electronic medical records software.
- Ensure accuracy and confidentiality of patient information.
- Accurately register new patients and update existing patient records.
- Utilize the Emirates ID reader for efficient and secure patient identification.
- Accurately checkin every patient upon arrival and checkout every patient when they leave.
- Coordinate with relevant staff to address patient inquiries and concerns.
Work Under Pressure:
- Demonstrate the ability to handle a fastpaced environment with grace and composure.
- Prioritize tasks effectively, especially during peak clinic hours.
Professional Appearance:
- Maintain a neat and professional appearance, adhering to clinic dress code.
- Create a positive first impression by presenting a polished and wellgroomed image.
Cash Handling:
- Manage patient payments, provide receipts, and ensure the accuracy of financial transactions.
- Collaborate with the billing department to address any paymentrelated issues.
Patient Education:
- Provide basic information regarding dental procedures, clinic policies, and postappointment care.
- Direct patients to educational materials or resources as needed.
Office Maintenance:
- Ensure the reception area is organized, tidy, and wellmaintained.
- Report any maintenance issues promptly to the appropriate department.
Conflict Resolution:
- Address patient concerns or conflicts professionally and escalate issues to the appropriate staff when necessary.
- Collaborate with management to find effective solutions to patientrelated challenges.
Insurance Verification:
- Assist patients in verifying their insurance coverage and understanding their benefits.
- Coordinate with the insurance department to resolve any billing or coverage issues.
Qualifications:
- Previous experience in a similar role is preferred.
- Proficient in using electronic medical records and scheduling software.
- Excellent organizational and multitasking abilities.
- Strong attention to detail and accuracy.
- Ability to work collaboratively with a diverse team.
- Fluency in English; knowledge of Arabic is a plus.
- Knowledge of dental terminology is advantageous.
- Customer service experience is highly beneficial.
- Adaptability to changes in scheduling, procedures, or unexpected situations.
- Empathy and patience in dealing with patients, especially those in pain or distress.
- Multilingual skills, especially in languages commonly spoken in the local community, are advantageous.
- Basic IT skills for troubleshooting minor technical issues.
Salary:
AED2, AED5,000.00 per month
