Job description - Admin cum Receptionist

Responsibilities as Admin:


  • Good knowledge and expertise regarding the submission processes, followups and securing approvals from relevant authorities like DM, DLD, DEWA, DDA, DWC, etc.
  • Supports the design manager in submittal planning and other documents as required.
  • Assist the Design coordinator in the management of Subcontractor works and follow up.
  • To be responsible for ensuring the modeler/draughtsman have the correct information for updating the shop drawings. Ensure document submittals are completed in a timely manner
  • Support the Design team in subcontractor coordination process.
  • Ability to review & do follow up on Design and Construction Regulations.
  • Reviews direct work/Subcontractor's shop drawings to ensure compliance with specifications and contract.
  • Track and maintain up to date drawing delivery schedule.
  • Support the Coordinator and Manager by providing information for site queries.
  • Liaise with the Planning Department to update the working program
  • Support & ensure the progress of the works, collect the information of as built drawings, passing it to the modeler to complete the detailed drawing.

Responsibilities as Receptionist:


  • Handling all administrative and secretarial functions
  • Handling independent business correspondence for the division
  • Responsible for maintaining all files and office records with confidentiality
  • Manage, organize and update relevant data and maintain a proper filing system
  • Organizing Travel and Hotel reservations for business trips,
  • Arranging and coordinating all business schedules
  • Responsible for stationary requirements

Requirements:


  • Bachelors degree or Diploma in Business Administration or equivalent; additional qualification as diploma or certification in Architecture would be considered an asset.
  • Demonstrated experience in a similar position as Admin Executive or Administrator.
  • Ability to communicate effectively, both verbally and in writing, with various departments, stakeholders, etc.
  • Strong organizational skills, planning, and communicating with high performance teams in a dynamic environment.
  • Organize and maintain client files and important documentation, ensuring accuracy and completeness.
  • Schedule meetings and manage calendars
  • Arrange travel, flights, accommodation and ground transportation
  • Previous experience in a similar administrative or real estate role is highly desirable.
  • Proficiency in standard office software.
  • Strong attention to detail and accuracy in handling documentation.
  • A proactive approach and selfmotivated attitude.
