Job Title:
Administrative Coordinator


Responsibilities:

Coordinate and oversee office activities and operations to ensure efficiency and adherence to company policies.

  • Supervise and delegate responsibilities to administrative staff, ensuring optimal performance and productivity.
  • Manage appointments, schedule meetings, and organize travel arrangements for the owner and other employees.
  • Arrange employee visas and coordinate travel appointments with the PRO (Public Relations Officer).
  • Handle phone calls and correspondence promptly, demonstrating professionalism and effective communication.
  • Coordinate with thirdparty vendors such as maintenance, electricity, and phone line providers on behalf of the company.
  • Organize company records and memos, ensuring easy accessibility and retrieval when required.
  • Create and update records and databases with personnel, financial, and other relevant data.
  • Monitor office supply stocks and initiate orders when necessary to maintain adequate inventory levels.
  • Conduct research and assist in preparing presentations or reports as assigned by the owner or management.
  • Conduct prescreening, shortlisting, and selection processes for potential new employees.
  • Track and maintain records of employee leaves, preparing timekeeping reports as needed.
  • Maintain HRrelated documents in a systematic manner, ensuring confidentiality and compliance.
  • Provide assistance and support to colleagues whenever necessary, fostering a collaborative work environment.
  • Undertake any other tasks or responsibilities based on organizational and operational needs as assigned by management.

Qualifications:

Proven experience as an Administrative Coordinator or similar role.

  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Outstanding communication and interpersonal abilities.
  • Proficient in office software, including word processing, spreadsheets, and presentation tools.
  • Familiarity with HR processes and documentation is a plus.
  • Ability to multitask and prioritize tasks effectively.
  • Discretion and confidentiality in handling sensitive information.
  • Bachelor's degree in business administration or a related field is preferred.

Salary:
AED6, AED7,000.00 per month


Ability to commute/relocate:

  • Dubai: Reliably commute or planning to relocate before starting work (required)

  • Bachelor's (preferred)

Experience:


  • Administrative: 2 years (required)
