As an
EXECUTIVE ASSISTANT, you will be responsible for providing comprehensive administrative support to the organization, including serving as a CEO Assistant and handling HR-related tasks.

Your role will involve managing the CEO's calendar, scheduling calls and meetings, assisting with HR functions, and ensuring smooth day-to-day operations.

This position requires exceptional organizational skills, discretion, and the ability to maintain confidentiality.


Key Responsibilities:

CEO Assistant Duties:

  • Manage the CEO's calendar, schedule appointments, and coordinate meetings, considering priorities and time constraints.
  • Arrange travel arrangements and accommodations for the CEO and other executives when required.
  • Prepare agendas, briefings, and necessary materials for meetings, ensuring the CEO is wellinformed and prepared.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Serve as a point of contact between the CEO and internal/external stakeholders, maintaining effective communication.

Schedule Management:

  • Organize and maintain schedules for various departments, ensuring optimal time utilization and avoiding conflicts.
  • Coordinate conference calls and virtual meetings, ensuring all participants receive relevant details and meeting links.
  • Remind participants of upcoming appointments and ensure meeting logistics are seamless.

HR Tasks:

  • Assist the HR department in various administrative functions, such as maintaining employee records and documentation.
  • Help with new employee onboarding, ensuring a smooth integration process.
  • Support HR in organizing training sessions, workshops, and company events.

General Administrative Support:

  • Maintain and organize files, records, and documents, ensuring they are easily accessible and uptodate.
  • Prepare and distribute memos, letters, reports, and other documents as required.
  • Schedule and coordinate meetings, appointments, and travel arrangements for team members and management.

Data Management:

  • Enter, update, and maintain data in various systems or databases accurately and securely.
  • Generate reports, charts, and presentations based on gathered data when necessary.
  • Assist in data analysis and interpretation to support decisionmaking processes

Project Assistance:

  • Collaborate with team members to assist with project coordination, tracking, and documentation.
  • Assist in the preparation of projectrelated materials and presentations.

Communication and Correspondence:

  • Act as a liaison between internal teams, departments, and external stakeholders.
  • Prepare and proofread written communications to ensure accuracy and professionalism.
  • Maintain internal communication channels and databases to facilitate efficient information flow.

Salary:
AED3, AED4,500.00 per month


Experience:

Executive Assistant: 2 years (required)
