Job description

We're looking for an Executive Assistant, who will be a strategic partner, helping manage priorities, protect focus, and ensure follow-through across the business. This role goes beyond admin work; you'll be deeply embedded in day-to-day operations, communication, and coordination with internal leaders and external partners. This is an ideal role for someone who is highly organized, anticipates needs before they arise, communicates clearly, and thrives in a fast-paced environment.

Responsibilities:

Executive Support

  • Manage complex calendars, schedules, appointments, and travel arrangements across multiple time zones.
  • Prepare executive reports, presentations, meeting agendas, and follow-ups.
  • Maintain confidentiality while handling sensitive documentation and correspondence.

Operations & Coordination

  • Coordinate projects, deadlines, and workflows across multiple business units.
  • Monitor task progress and ensure accountability within internal teams and external partners.
  • Assist with contract and document management, signing processes, and approvals.

Communication

  • Act as a professional point of contact between the MD, stakeholders, clients, partners, and internal teams.
  • Draft and proofread emails, proposals, presentations, and business communications.
  • Take minutes during meetings and ensure actionable items are implemented.

Research & Planning

  • Conduct market, competitor, and feasibility research as required.
  • Assist in identifying new opportunities, vendors, and strategic contacts.
  • Support the MD in planning business initiatives and expansion projects.

Requirements

  • Proven experience in a similar role (Personal Assistant, Executive Assistant, Secretary) of 4-6 years or more
  • Neat, professional, and presentable appearance
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication skills
  • High level of discretion, judgment, and emotional intelligence
  • Proactive, resourceful, and comfortable working with minimal supervision
  • Ability to manage multiple priorities in a fast-moving, remote-first environment
  • Experience of working directly with owner or businessman is highly preferred
  • Should be fluent in both English and Tagalog.
