ABOUT THE ROLE

Based in Dubai and reporting to the HR Manager, the HR Admin Assistant is responsible to provide comprehensive support in admin activities and HR support for offshore services business unit.


KEY ACCOUNTABILITIES

Payroll, Leave Request and Travel

  • Receive and process staff expense claims relevant to HR
  • Respond to queries regarding employee pay
  • Process monthly expat payroll for selected offshore services business unit
  • Receive and process leave and annual ticket requests and ensure appropriate absence forms, medical certificates have been submitted.

Insurance

  • Responsible for all additions, deletions of new joiners in the system
  • Coordinate with insurers all their queries and requirements
  • Arrange and follow up medical cards.
  • Assist in preparation for renewals and group list.

HR Support

  • Assist with onboarding arrangements for new employees and exit arrangements employees leaving
  • Maintains employee files and records.
  • Assist in recruitment requirements i.e. CV gathering, interviews, etc.
  • Ensures timely renewals of life and medial insurance for offshore services
  • Work with IT team for resolution of new joiner access issues

Travel and Expense Claims

  • Receive and process staff annual leave ticket requests
  • Arrange flights, visas, accommodation and transport arrangements Receive and process staff expense claims for assigned staff

Other Functions

  • Assist as and when required as per the HR requirements.
  • Understand internal organization structure, fleet operations and priorities
  • Ensure personal development through training and selfdevelopment

QUALIFICATIONS AND EXPERIENCE

Minimum Qualifications and Experience:


  • Higher Education or College graduate preferred
  • Must have minimum 34 years' experience in a similar role

Key Attributes

  • Computer proficiency with Microsoft Office
  • Offshore insurance services knowledge is a must
  • Good command of English verbally, reading and writing Attention to detail and accuracy with all tasks
  • Able to work independently as well as within a team.
