Documentation, Filing and keeping Employee Data up to date - Physical files, HR related software (Matrix, HR Work), Employee data excels and other areas as applicable

  • Tracking timelines of employees' expiry data
  • Creating a filing system for all relevant documents and implementing the same.
  • Assist in facilitating training courses for white collared worker and coordinate with training providers as and when required.
  • Assist HR Officer in recruitment process and job description & KPIs process for white collared staff as required.
  • Carries out the entire mobilisation process for new employees w including but not limited to offer preparation, collection of documents, labour processing, visa processing, Joining date confirmations and process (system, desk etc.), induction for new employees (white collar staff), medical insurances, workman compensation insurances etc. and update mobilisation tracker accordingly. Maintain induction checklist
  • Handle the entire demobilisation process including but not limited to resignation acceptance, exit interviews, disabling biometric, collection of medical cards & cancellation, collection of mobile sims, laptops etc. for exiting employees, visa cancellation, inform bank authorities about exiting employees as required etc. in coordination with HR Officer. Ensure that demob checklist is signed off by all departments before the person exits.
  • Maintain and update regularly salary advance & loan and CTC reports.
  • Maintain and update leave report for employees for vacations, emergency leaves etc. ensuring that all the required leave contact details are in place. Ensuring joining forms are completed by employees when they join back.
  • Assist HR Officer in performance appraisal cycle as required.
  • Assist HR Officer in all other employee related issues like salary certificates, bank coordination, internal memos etc.

Recruitment Coordination

Time Keeping

  • Maintain and download the biometric attendance data of all departments and share the same with Dept. Heads and HR daily.
  • Highlight absenteeism, latecomers to Dept. managers/HR/Directors.
  • Coordinating with departments heads like logistics, production, installation etc. for punch in and out timings wherein biometric data is not available and update attendance accordingly.
  • Submit summary of attendance at the end of each month to HR/Accts for payroll purpose.
  • Prepare OT sheets including details of jobs done for all departments like design, logistics, production etc. and send it to Dept. Head/HR for checking and payroll purpose.
  • Preparing shift rotation schedule for production, design, logistics etc. every 1.5 months and forward the same to dept. heads/HR
  • Manage the payroll process under the supervision of HR Officer.
  • Calculate staff monthly overtime and submit the same to the HR officer for his approval and accounts for payroll.


Implement the entire leave approval process starting from issuing the leave forms till management's approval and confirming the same with the employee.

AED3, AED4,000.00 per month

  • Riyadh: Reliably commute or willing to relocate with an employerprovided relocation package (required)
