The Role

To provide analytical and coordination support in the planning, development, and implementation of the internal communications plans and programs to facilitate awareness among all CLIENT employees ensuring clarity of communications on organizational initiatives, to facilitate strong employee engagement.


Key Accountabilities General Responsibilities will include:

  • Support the management in implementation of Communications Department policies, procedures and controls covering all areas of assigned department activity.
  • Support the identification of opportunities for continuous improvement and sustainability of systems, processes and practices considering global standards, productivity improvement and cost reduction.
  • Ensure that all reports are prepared timely and accurately and meet CLIENT requirements, policies, and quality standards.

Job Specific Responsibilities will include:

Internal Communications - Coordinate with concerned departments in-order to support the development of the internal communications plan in alignment with the overall group communications plan.

- Contribute to the development and review of internal communications material at a group level, in coordination with concerned departments to ensure compliance with quality standards; this includes reviewing intranet content as well as drafting and reviewing newsletters.

- Identify areas of improvement in all developed internal communications and recommend changes as needed to serve as an input in the monitoring of the internal communications' effectiveness.

- Participate in brainstorming and information gathering sessions to contribute to the development of internal campaigns intended to support the delivery of critical messages to CLIENT employees.

- Execute ad-hoc internal communications requests as needed in alignment with policies and processes. - Conduct awareness surveys to measure CLIENT's level of awareness about the activities of the internal communications.

- Develop, update, and share the templates to be used consistently across CLIENT to maintain consistency and ensure the provision of CLIENT's internal group branding parameters.

- Participate in the development of standard stationary items for CLIENT employees in coordination with the relevant departments.

- Develop event communications as needed and coordinating logistics with the events team in-order to maintain the effectiveness of internal events.

- Identify areas for improvement and lessons learnt to continuously improve on service levels and achieve efficiencies.

- Coordinate with third-party vendors/agencies in the development of internal communications material such as brochures, press packs and corporate gifts to ensure the delivery of desired outcomes as needed.

- Support in the development and maintenance of a crisis communication plan in coordination with the relevant department. - Distribute pre-defined internal communications responses to crisis situations in coordination with the relevant departments.


Requirements:


Internal/External - Communicate daily with the Head of Corporate affairs to receive work direction and report work updates - Communicate frequently with the media - Communication daily with the Branding and Corporate communication officer to provide work directives and follow-ups - Communicate when required with exhibitions, fairs, and conference organizers for organizing CLIENT participation and event speaker - Communicate when required with Corporate affairs sections to co-ordinate work - Communicate frequently with CLIENT stakeholders to co-ordinate Branding and Corporate communication-related work - Communicate when required with other CLIENT departments to coordinate work on joint projects - Communicate with the Procurement team to procure materials and suppliers Qualifications and Experience - Bachelor's degree in Mass Communication, Advertising, Journalism, or any other related field.

- 3 years of relevant experience in Communications.
