As we continue to expand our operations in Dubai, we are seeking a dynamic and organized individual to join our team as an Office Administration & Operations CoordinatorWhat we need to see from you:
The Office Administration & Operations Coordinator will play a crucial role in ensuring the smooth and efficient functioning of SoftwareOne's Dubai office.
This role involves managing day-to-day administrative tasks, overseeing office operations, and contributing to a positive working environment for all employeesAdministrative Support : 15%
- Handle general office administrative tasks, including managing office supplies, mail distribution, and vendor relationships.
- Assist in scheduling and coordinating meetings, conferences, and travel arrangements for team members.
- Maintain and update office records, databases, and contact lists.
- Maintain banking relationships visit bank for documentations if any
- Maintain PRO, Consulate relationships with KSA / UAE
2, Facility Managemet:
- Oversee the maintenance and cleanliness of the office space, coordinating with relevant service providers.
- Ensure office equipment is in working order, arranging for repairs or replacements when necessary.
- Collaborate with building management to address facilityrelated issues
Office Operations:
Expected Workload -50%
- Follow up with customers for pending receivables
- Maintain the customer and partner database in company CRM
- Address invoicing issues for customers and vendors
- Work with internal AR team for account receivables
- Implement and improve office policies and procedures to enhance operational efficiency.
- Work closely with IT support to address any technologyrelated issues within the office.
- Work closely with HR and IT for new employee onboarding.
- Monitor and manage office security protocols and access controls.
Event Coordinaion:
Expected Workload -10%
- Assist in planning and organizing company events, both internal and external.
- Coordinate logistics for workshops, seminars, and other corporate gatherings.
- Act as a point of contact for employees regarding officerelated inquiries and requests.
- Collaborate with HR to facilitate onboarding processes for new hires
Qualification:
- Bachelor's degree in business administration, office management, or related field.
- Proven experience in office administration and operations.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office suite.
- Familiarity with facility management and basic IT concepts.
