    Description

    General Administrative Support:
    Providesadministrative/confidential support to the Senior Deputy/SeniorDeputy and members of his team.
    Receiving and hostingguests and office visitors with kindness and respect.
    Apaper or electronic copy of the calendar is kept for theresponsible senior deputy.
    Follows standard Hill Companyinternal and project document control procedure. Collects, reviews,and distributes incoming mail in both hard and electronic versions.
    He handles incoming mail independently, and does not need theattention of the senior representative. Reviews incoming andoutgoing correspondence to ensure accuracy and coordination ofoutgoing documents that require the signature of the SeniorDeputy/First Deputy.
    Coordinate complex travelarrangements.
    Copy, scan and classifydocuments.
    Prepare, transcribe, submit and categorizeexpense reports using VantagePoint.
    Processing supplierinvoices in coordination with the FinanceDepartment.
    Perform other administrative tasks asneeded.
    Be part of the operations/management team whenneeded.
    Other administrative tasks (if and whenneeded)

    Front Desk Operations:
    Answering phonesand routing calls.
    Maintain fax machines, copiers, andprinters in the office.
    Manage the schedule of officedrivers, for example, organizing daily pick-up, drop-off anddocument delivery.
    Arrange courier pickup asneeded.
    Order office and kitchen supplies and coordinatedelivery.
    Using excellent interpersonal communicationskills, communicate with various levels of company employees,management, visitors, customers, etc.

    Office Operations:
    Assist with planning events/meetings.

    Coordinate, cleanand organize the office (when necessary).
