    Job Description
    • Excellent knowledge of word processing.
    • Responsible for the preparation of office correspondenceusing appropriate format as set by the company regarding fontslogos etc.
    • Receives opens and sorts allincoming business mail and arranges for the mailing of outgoingoffice mail for the GM and HM.
    • Handles alloffice correspondence and information with discretion andconfidentiality.
    • Maintaining and updating aconventional office filing system which provides for easy access todata requests.
    • To maintain an electronicfiling system on his/her assigned PCs hard disc.
    • To keep meeting minutes when required.
    • Answering screening and transferring phone calls for theGM and HM.
    • Schedules appointments for the GMand HM and keeps them informed and updated.
    • Receives screens and welcomes office visitors in a courteousprofessional manner at all times maintaining standards ofhospitality established by their rank.
    • Seesto the proper handling use and maintenance of office equipment andsupplies.
    • Coordinates for cleanliness andmaintenance in his/her own area as well as in the GMs and HMsoffices.
    • Maintains an orderly and organisedspace.
    • Acts as liaison and coordinatorbetween the GMs and HMs offices and other departments anddepartment heads.
    • Maintains a professionaland friendly relationship and approach with his/her counterpart inthe owning company.
    • Handles and arrangestravelling issues for the GM and HM.
    • Will beresponsible for the Duty Managers log book followup.
    • Collects necessary information for the planning andpreparation of the Duty Managers roster/schedule.
    • In coordination with the GM plans and prepares the DutyManagers monthly roster/schedule and keeps the GM updated onchanges and corrections.
    • Collects necessaryinformation in order to establish a weekly attendance forecast ofthe Executive Committee members and Department Heads A and B forthe GMs overview and keeps the GM updated on changes.
    • Receives information from the Director of Rooms in orderto prepare the GMs welcome letter for Club Millesime and Suitesguests.
    • Ensures proper distribution ofinformation from the GMs office to all concerned and viceversa.
    • Keeps the GM informed on routinematters relevant to the operation of the hotel.
    • During the GMs absence he/she prepares a daily summaryof major happenings in order to update the GM upon arrival or uponrequest.
    • Ensures correct flow of informationby becoming familiar with the organizational chart and companyhierarchy.
