    Job Description


    The Buying Coordinator supports the Buying and Production team in the execution of day-to-day operational activities, ensuring smooth coordination between internal departments, suppliers, and logistics partners.

    This role is ideal for a highly organized, detail-oriented professional who thrives in a fast-paced, deadline-driven environment and is eager to build strong experience in buying, production, and supply-chain operations.

    Key Responsibilities

    Buying & Purchase Order Support

    • Create, issue, and update Purchase Orders (POs) in the ERP system in line with buying approvals and production timelines
    • Ensure PO accuracy, including style numbers, descriptions, colours, quantities, prices, delivery terms, and dates
    • Track PO confirmations and follow up with suppliers on discrepancies or missing information
    • Maintain organized PO records and ensure alignment between buying, production, and finance teams
    • Maintain and update spreadsheets, trackers, reports, and documentation related to buying and production
    Production & Vendor Coordination

    • Liaise with vendors and suppliers to monitor production progress, critical milestones, and delivery timelines
    • Track sampling status, bulk production, and shipment readiness
    • Coordinate sample requests, approvals, and shipments, ensuring proper documentation and traceability
    • Maintain uptodate production trackers and communicate risks or delays proactively
    Logistics, Documentation & Compliance Support

    • Review and verify packing lists to ensure consistency with approved POs and shipment details
    • Check and validate commercial invoices against POs, including quantities, pricing, Incoterms, and currency
    • Flag discrepancies to the Buying, Logistics, or Finance teams for resolution
    ERP & Master Data Management

    • Create, maintain, and update master files in the ERP system, including styles, vendors, item data, pricing, and delivery parameters
    • Ensure accuracy and consistency of master data to support smooth PO creation, invoicing, and reporting
    • Coordinate with internal teams to implement updates or corrections to ERP master data
    Key Skills & Competencies

    • Strong attention to detail and high level of accuracy.
    • Ability to manage multiple priorities in a fastpaced environment.
    • Clear communication skills with internal teams and external suppliers.
    • Proficiency in Excel and ERP systems (training provided where needed).
    • Strong organizational and followup skills.
