The International Renewable Energy Agency (IRENA) is an inter-governmental organization headquartered in Abu Dhabi, mandated to promote the widespread and increased adoption and sustainable use of all forms of renewable energy in the pursuit of sustainable development, energy access, energy security and low-carbon economic growth and prosperity.

IRENA's mission is to play a leading role in the ongoing transformation of the global energy systems as a center of excellence for knowledge and innovation, a global voice of renewable energy, a network hub for all stakeholders, and a source of advice and support for countries.

At present, IRENA has 168 Members (167 States and the European Union) that acceded to its Statute, and 16 additional States in the process of accession and actively engaged.

Under the overall guidance of the Director, ODG, and the direct supervision of the Chief, Events Unit, the incumbent will be responsible for the following duties:

  • Assists in all logístical arrangements of events e.g., meetings, and workshops that programmatic divisions of IRENA are organizing.
  • Prepares and maintains a detailed database of events to be hosted at IRENA headquarters including budget estimates and any other information required by the supervisors and project owners.
  • Identifies and recommends appropriate locations and venues.
  • Drafts distributes, and follows up on invitations in an efficient and timely manner.
  • Assists in producing and distributing to participants all information and material relevant to the events: agenda, documents, and presentations.
  • Produces lists of meeting participants, including accurate contact information.
  • Assists the participants in all logístical aspects of their participation in meetings, including travel and entry to the country, manage hotel bookings, and ensure travel and DSA disbursement as per relevant guidelines, rules, and regulations in coordination with all sections of AMS.
  • Organizes briefings for support staff on all logístical aspects of meetings, prior to and during the different meetings, and prepares relevant comprehensive handouts, to ensure the effective implementation and coordination of the meeting and related events.
  • Maintains accurate records, and background information, related to the events organized in IRENA headquarters to ensure an accurate and complete accounting, reporting, and internal control system; keeps all records uptodate and ensures their accessibility at all times.
  • Performs any other duties as required.
