The role
The Technical Conference Executive will be responsible for delivering all aspects of technical content across the programme lifecycle, creating and maintaining relationships within the industry including:

  • Development and management of new and existing relationships with relevant technical stakeholders from author submitters, speakers and committee members from NOCs, IOCs, IECs, technology providers
  • Analytical indepth research and fulfilling the call for papers processes to create sessions with clear topics that are both technical and commercial across the oil, gas and wider energy value chain attracting paying delegates
  • Ensure onsite delivery of all technical sessions is executed with excellent speaker, committee member and delegate engagement ensuring full sessions and a strong programme
  • Continual assessment of industry market dynamics to identify opportunities for the further development of technical content offerings
  • Previous experience within the oil, gas and energy sector with front facing interaction with key stakeholders
  • Ability to write industry accurate copy for conference agendas, team briefings and marketing sales collaterals for our event communities to promote sessions and attract an audience of paying delegates. You will need a keen eye for written attention to detail.
  • Be highly organised and capable of working to tight deadlines.

Key competencies and core elements of the role

Conference Production

  • Work with the production team to invite, create and manage technical committee members
  • Organise and run committee meetings to determine conference categories, topics, sessions, speakers, chairs
  • Oversee the technical conference call for papers campaign and manage and monitor the abstract submissions working to preset timelines and deadlines
  • Conduct indepth telephone, face to face and desktop research with potential speakers to ensure abstract submissions across the energy value chain/dedicated categories
  • Manage the abstract submissions portal ensuring it is set up correctly to allow submissions. Ensure the agenda information is correct so it automatically feeds through to the website and app.
  • Utilise the portal to manage and correspond with author submitters and committee members during the abstract submissions, presentation reviews and evaluation processes as per project timelines and deadlines
  • Work with production and marketing colleagues to ensure our conferences are promoted effectively and correctly through the website, EDMs and electronic and printed collaterals and we are targeting the relevant job titles/companies to build new data
  • Join sponsorship and delegate sales meetings to ensure alignment with the conference themes, topics and potential speaker placements. Providing where necessary help with sales pitches to understand the benefits of attending our conferences as delegates or sponsors.

Conference Project Management

  • Work with the conference production team to ensure alignment on project processes and timelines for the call for papers campaign and speaker management activities
  • Prepare weekly reports throughout the conference lifecycle
  • Travel to the Show, working closely with the onsite support teams (show callers, operations, AV) to ensure delivery of a firstclassonsite conference experience for speakers, delegates, committee members
  • Be the main liaison point of contact (pre, onsite, after) ensuring all speaker and committee preparations and requirements are handled successfully
  • Oversee author, speaker and committee member database management for comms campaigns and badge processing
