Description

This is an opportunity to move to an office position for a better work/life balance compared to the demands of the hospitality industry.

A background in concierge/butler services is a significant advantage.
The company is interested in someone with ambition and desire to succeed as they are keen on fostering loyalty, growing skills, and promoting existing staff to take on even more duties


Main duties:
Coordinate internal and external resources and cultivate relationships with vendors.
Manage contract and price negotiations with office vendors and service providers.
Organize office operations and procedures.
Maintain the office condition and arrange necessary repairs.
Liaise with facility management vendors, including cleaning, catering, and security services.
Track stocks of office supplies and place orders when necessary.

Provide direct administrative supports as needed, including invoicing, scheduling, appointments, meetings, and events, booking travel & accommodation, maintaining filing system, mailing and shipping packages, and updating client database and employee list.

Coordinate with IT providers on all office equipment.
Function as Executive Assistant to the Director.
Address employees queries regarding office management issues


Job requirements:
Previous work experience in Dubai/UAE, preferably in the hospitality sector (ideally concierge team)
Fluent in English and Russian
Experience with bookkeeping / administrative expenses management
Excellent time-management and people skills, flexibility, and multitasking ability
Strong written and oral communication skills
Advanced computer skills and experience with online platforms
Proficiency in Microsoft Office, with the aptitude to learn new software and systems
Ability to handle confidential information
Require travel to meetings with service providers, etc. within Dubai
