As a Facilities/Relations Manager, my role encompasses overseeing all facets of
facilities management and tenant relations within the organization. This entails

Key Responsibilities:
1. Client/ Tenant Relations: Act as the primary point of contact for client/ tenant
inquiries, concerns, and complaints.
Cultivate and sustain positive relationships with client/ tenants, promptly
addressing their needs with professionalism.
Coordinate to foster a sense of community and elevate tenant satisfaction.
2. Facilities Management: Supervise the maintenance, repair, and upkeep of all
facilities, encompassing common areas, amenities, and building systems.
Develop and execute preventive maintenance programs to ensure the efficient
functioning of building systems and equipment.
Manage vendor relationships and contracts for facility services, prioritizing
quality and cost-effectiveness.
3. Complaints Resolution: Handle tenant complaints diligently, thoroughly
investigating issues and implementing appropriate solutions.
Utilize a CAFM system (Facilio app) to efficiently track and manage work orders
and service requests.
4. Delegation of Tasks: Allocate and delegate tasks among hard services (e.g.,
maintenance, repairs) and soft services (e.g., cleaning, landscaping) teams based
on priorities and resource availability.
5. Overseeing Complaints Management: Supervise the resolution of MEP
complaints and internal apartment complaints, ensuring timely and satisfactory
closure.
Utilize the Facilio app to monitor work orders and track progress effectively.
6. Conducting Review Meetings: Organize and lead internal review meetings to
evaluate the status of complaints, review action plans, and ensure closure within
designated timelines.
Facilitate client review meetings to provide comprehensive project overviews
and address any concerns or feedback.
7. Tenant Communication: Manage internal communication with tenants
experiencing issues in their apartments, striving to de-escalate conflicts and
ensure customer satisfaction.
8. Contractor Meetings: Attend contractor meetings to discuss ongoing projects,
evaluate performance, and address any issues or discrepancies

9. Reviewing Reports: Scrutinize monthly maintenance reports, work completion
reports, technical reports, and other relevant documentation to ensure
accuracy and compliance.
Authorize quotations and purchase orders for essential materials and services.
10. Client Correspondence:Respond promptly to client minutes of meetings,
addressing inquiries, providing updates, and confirming action points.
11. Team Management:Effectively manage a team of technicians, housekeeping
staff, supervisors, and engineers, offering guidance, support, and performance
evaluations as necessary.
