Job Profile

The Executive Secretary provides high-level administrative support to senior executives, ensuring smooth management of their schedules, correspondence, and day-to-day operations. The role requires strong organizational skills, discretion, and the ability to handle confidential information.

Reports to

Managing Director and Board Members

Key Responsibilities

1. Administrative Support to the Managing Director (MD) and other Board Members (BM).

  • Manage and maintain the MD's & BM's calendar, schedule meetings, and appointments.
  • Handle all correspondence, including emails, phone calls, and letters, ensuring timely responses.
  • Prepare and organize documents, presentations, and reports for meetings.

2. Meeting Coordination

  • Arrange and coordinate meetings, conferences, and travel arrangements.
  • Record and distribute minutes of meetings, highlighting action points and follow-ups.
  • Ensure meeting rooms are prepared and equipped with necessary materials.

3. Communication

  • Serve as a primary point of contact between the MD and internal/external stakeholders.
  • Screen and prioritize communications to ensure efficient workflow.
  • Draft and edit correspondence on behalf of the executive.

4. Office Management

  • Maintain and update filing systems, ensuring easy retrieval of information.
  • Monitor and replenish office supplies as required.
  • Coordinate with other departments for administrative tasks.

5. Confidentiality and Professionalism

  • Handle sensitive and confidential information with utmost discretion.
  • Act as a gatekeeper to ensure the executive's time is used efficiently.

6. Project Assistance

  • Support in executing special projects or assignments as directed by the MD.
  • Conduct research and compile data to assist in decision-making.

Qualifications and Skills

Educational Requirements

  • Bachelor's degree in Business Administration, Secretarial Studies, or a related field.

Experience

  • 3–5 years of experience as an executive assistant, secretary, or in a similar administrative role.

Key Skills

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time-management skills.
  • Strong verbal and written communication skills.
  • Ability to multitask and prioritize tasks effectively.
  • High level of attention to detail.
