    Role Description

    We are seeking a motivated and organized Administrative Assistant with Real Estate Conveyancing experience to join our dynamic ART REALTY team. The ideal candidate will play a key role in supporting daily administrative functions, contributing to the efficiency and smooth operation of our office.

    Responsibilities

    1. Front Desk Operations: Serve as the first point of contact for visitors, clients, and vendors. Answer and direct phone calls in a professional manner.
    2. Data Entry and Conveyancing: Enter and update information into our real estate portals (Trakheesi permits, PF Expert listings verifications, electronic Contract A, B, F), company's CRM, databases and systems. Ensure data accuracy and integrity.
    3. Document Management: Assist in the creation, editing, and formatting of documents, forms, reports, and presentations. Ensure accuracy and adherence to company standards.
    4. Basic Design for Social media channels: Design of artworks for the posts / stories for FB & IG in Canva based on the existing templates.
    5. Office Management: Maintain a well-organized and tidy office environment. Monitor and order office supplies as needed.
    6. Communication Handling: Handle incoming and outgoing emails, faxes, and other correspondence. Distribute information to relevant parties promptly.
    7. Appointment Scheduling: Coordinate and schedule appointments, meetings, and property viewings. Update calendars and notify relevant parties of schedule changes.
    8. Client Interaction: Assist in managing client inquiries and requests. Provide exceptional customer service and support. Prepare and serve tea / coffee when required.
    9. Filing and Record Keeping: Maintain organized filing systems for documents, contracts, and other paperwork. Ensure confidentiality and easy retrieval of information.
    10. Assistance to Teams: Collaborate with various teams within the company to facilitate efficient workflow. Provide support as needed.
    11. Special Projects: Undertake special projects and tasks as assigned by management.

    Qualifications

    1. Proven experience as an Administrative Assistant or in a similar role in real estate company
    2. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    3. Excellent communication and interpersonal skills.
    4. Strong organizational and multitasking abilities.
    5. Attention to detail and accuracy in work.
    6. Ability to work independently and as part of a team.
    7. Basic knowledge of real estate practices is a plus.
    8. Experience of working with Canva is a plus.
    9. High school diploma; additional certification in office administration is advantageous.

    Work Schedule and Salary

    Work schedule is Monday to Friday from 9am to 6pm, work is on-site / from the office.

    Salary depends on the experience but it will be in the range of AED5,000-6,000 per month.
