Job Summary:
Responsibilities:
- Greet and welcome clients and visitors with a positive attitude.
- Answer phone calls, redirect calls, and take messages as necessary.
- Handle inquiries and provide accurate information about our services, packages, and travel destinations.
- Manage the reception area, ensuring it is clean, organized, and presentable at all times.
- Assist in booking travel arrangements, including flights, accommodations, and transportation for clients.
- Coordinate with travel agents, airlines, hotels, and other service providers to ensure seamless travel experiences for clients.
- Maintain and update records, databases, and filing systems in an organized manner.
- Assist in preparing and distributing promotional materials, brochures, and other marketing collaterals.
- Support the administrative team with various tasks, including scheduling appointments, preparing documents, and handling correspondence.
- Assist in coordinating events, meetings, and conferences as needed.
- Monitor and manage office supplies, inventory, and equipment, placing orders when necessary.
- Handle basic accounting tasks such as invoicing, processing payments, and maintaining financial records.
- Assist in resolving customer complaints or issues in a timely and professional manner.
- Adhere to company policies, procedures, and safety standards at all times.
Requirements:
- Proven experience as a receptionist, administrative assistant, or similar role, preferably in the travel and tourism industry.
- Excellent communication and interpersonal skills, with a friendly and professional demeanor.
- Strong customer service orientation and the ability to handle inquiries and resolve issues effectively.
- Proficiency in using Microsoft Office Suite (Word, Excel, Outlook) and other office software like Adobe Creative Suite, Canva, etc.
- Ability to multitask and prioritize tasks in a fastpaced environment.
- Attention to detail and accuracy in data entry and recordkeeping.
- Strong organizational and time management skills.
- Familiarity with travel booking systems and software is a plus.
- Bachelor's of Science in Business Administration, Office Management or similar field.
