Job Summary:

Responsibilities:


  • Greet and welcome clients and visitors with a positive attitude.
  • Answer phone calls, redirect calls, and take messages as necessary.
  • Handle inquiries and provide accurate information about our services, packages, and travel destinations.
  • Manage the reception area, ensuring it is clean, organized, and presentable at all times.
  • Assist in booking travel arrangements, including flights, accommodations, and transportation for clients.
  • Coordinate with travel agents, airlines, hotels, and other service providers to ensure seamless travel experiences for clients.
  • Maintain and update records, databases, and filing systems in an organized manner.
  • Assist in preparing and distributing promotional materials, brochures, and other marketing collaterals.
  • Support the administrative team with various tasks, including scheduling appointments, preparing documents, and handling correspondence.
  • Assist in coordinating events, meetings, and conferences as needed.
  • Monitor and manage office supplies, inventory, and equipment, placing orders when necessary.
  • Handle basic accounting tasks such as invoicing, processing payments, and maintaining financial records.
  • Assist in resolving customer complaints or issues in a timely and professional manner.
  • Adhere to company policies, procedures, and safety standards at all times.

Requirements:


  • Proven experience as a receptionist, administrative assistant, or similar role, preferably in the travel and tourism industry.
  • Excellent communication and interpersonal skills, with a friendly and professional demeanor.
  • Strong customer service orientation and the ability to handle inquiries and resolve issues effectively.
  • Proficiency in using Microsoft Office Suite (Word, Excel, Outlook) and other office software like Adobe Creative Suite, Canva, etc.
  • Ability to multitask and prioritize tasks in a fastpaced environment.
  • Attention to detail and accuracy in data entry and recordkeeping.
  • Strong organizational and time management skills.
  • Familiarity with travel booking systems and software is a plus.
  • Bachelor's of Science in Business Administration, Office Management or similar field.
