    The Role

    Job Description: As an Administrative Assistant, you will play a vital role in supporting our real estate team. Your responsibilities will include a variety of administrative tasks to ensure the smooth operation of our office and effective handling of real estate transactions. Job Responsibilities:
    • Listing Properties: Accurately listing properties, ensuring all details are up-to-date and presented attractively.
    • Lead Management: Efficiently forwarding leads to the assigned agents and tracking follow-up activities.
    • Commission Monitoring: Keeping a close eye on commission revenue, ensuring accurate tracking and reporting.
    • Contract Preparation: Drafting and preparing Listing Agreements, Contracts (Tenancy, MOU, Form-A, Form-B), ensuring all documents are complete and compliant with regulations.
    • EJARI Registration: Handling the EJARI registration process, including both the contract and certificate.
    • Coordination: Liaising with developers, agents, and clients to facilitate smooth transactions and communications.
    • Office Operations: Managing day-to-day office tasks such as answering phones, taking messages, scheduling appointments, handling documents and receipts, distributing reports, and maintaining both electronic and paper filing systems.
    • Communication: Making outgoing calls, relaying emails, and ensuring effective communication within the team and with clients.
    • Reporting: Regularly providing reports to managers on various aspects of the business operations.
    • Team Support: Offering general support to the real estate team as needed to enhance productivity and service quality.
    • Accounts Assistance: Assisting the accounts team in preparing statements and explaining billing details to tenants.
    • Customer Service: Resolving customer queries quickly and effectively, ensuring a high level of customer satisfaction.

    Requirements

    Qualifications:

    • Proven experience as an administrative assistant, preferably in a real estate or related field.
    • Strong organizational and time-management skills.
    • Excellent communication and interpersonal abilities.
    • Proficiency in MS Office and familiarity with real estate platforms such as Property Finder, Bayut, and Dubizzle.
    • Ability to handle multiple tasks and work under pressure.
    • Attention to detail and problem-solving skills.
    • High school diploma; additional qualification as an administrative assistant or secretary will be a plus. What We Offer:
