- Listing Properties: Accurately listing properties, ensuring all details are up-to-date and presented attractively.
- Lead Management: Efficiently forwarding leads to the assigned agents and tracking follow-up activities.
- Commission Monitoring: Keeping a close eye on commission revenue, ensuring accurate tracking and reporting.
- Contract Preparation: Drafting and preparing Listing Agreements, Contracts (Tenancy, MOU, Form-A, Form-B), ensuring all documents are complete and compliant with regulations.
- EJARI Registration: Handling the EJARI registration process, including both the contract and certificate.
- Coordination: Liaising with developers, agents, and clients to facilitate smooth transactions and communications.
- Office Operations: Managing day-to-day office tasks such as answering phones, taking messages, scheduling appointments, handling documents and receipts, distributing reports, and maintaining both electronic and paper filing systems.
- Communication: Making outgoing calls, relaying emails, and ensuring effective communication within the team and with clients.
- Reporting: Regularly providing reports to managers on various aspects of the business operations.
- Team Support: Offering general support to the real estate team as needed to enhance productivity and service quality.
- Accounts Assistance: Assisting the accounts team in preparing statements and explaining billing details to tenants.
- Customer Service: Resolving customer queries quickly and effectively, ensuring a high level of customer satisfaction.
- Proven experience as an administrative assistant, preferably in a real estate or related field.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in MS Office and familiarity with real estate platforms such as Property Finder, Bayut, and Dubizzle.
- Ability to handle multiple tasks and work under pressure.
- Attention to detail and problem-solving skills.
- High school diploma; additional qualification as an administrative assistant or secretary will be a plus. What We Offer:
